This post is for a treatment room receptionist, looking after patients of all ages with varying skin conditions requiring treatment.
In this role, you will have contact with patients, their relatives and carers, therefore you will need to have a friendly manner and good communication skills.
The role will require you to provide both administrative and non-clinical support for the healthcare professionals involved in patient care. Promoting a patient focused and calm environment.
We are seeking a motivated and adaptable individual with the necessary skills and experience to contribute to the efficient and effective delivery of the departmental operations.
To welcome and greet patients and relatives in a friendly and courteous manner.
To answer the telephone and respond to email enquiries, taking and relaying messages in a polite and helpful manner; taking action as appropriate.
To liaise with Nurses, Doctors, and other members of the Dermatology team, communicating necessary information accurately to assist in providing a quality service for patients
To maintain efficient patient records and tracking of notes.
Maintain accurate record keeping, ensuring the treatment room activity diary is kept up to date.
Ordering equipment and supplies.
Reporting maintenance and faulty equipment.

To provide a complete Reception & Administrative Service to patients attending the Treatment Room and supporting the Nursing staff and Medical staff accordingly.
To liaise with nurses, doctors and other members of the multidisciplinary team including inpatient and outpatient booking teams to provide a quality service for the patients. Liaising with other hospitals, porters and pharmacy services. Processing referrals, scanning documents & adding to the Phototherapy treatment waiting list accordingly.
To work as part of a team sharing responsibility of the post and smooth running of the department. Answering patient telephone calls and dealing with queries in a professional manner.
To provide a first point of contact, answering all telephone inquiries, taking and relaying messages in a polite and helpful manner, and using own judgement to establish the priority of issues and acting as appropriate. To arrange patient appointments when necessary. Checking department emails in the generic mailbox.
To assist with the smooth running of the treatment room diary, providing accurate and timely information. Organising meetings as appropriate. Chase & book/cancel patient treatment appointments and liaise with patient transport team where required.
To deal with incoming correspondence. Uploading of photographs to the patient records on the Hospital IT system. Scanning patient proforma into patient records. Using initiative as appropriate.
To develop and maintain patient records (electronic and paper) e.g. collate paperwork for patient first phototherapy treatments.
To make best use of information technology i.e. windows software and to be involved with the changing technology as this becomes available.
To be a Requisitioner for UNIT4 to be able to order supplies and stationery for the service, to order samples, and information leaflets.
To organise the maintenance/repairs of equipment in the department if requested.
Verify the clinic rota and booked appointments for a given day; allocating the Clinic rooms; highlighting any discrepancies to the department patient flow manager.
To maintain an efficient system for the tracing of health records.
To assist in the induction/training of new staff as directed.
To assist with the coding of uncached appointments within the treatment room.
Participate in mandatory training and induction programmes.
To be flexible to the needs changing of the Dermatology department, and Trust.
