Job Overview

We are seeking a highly organised and proactive Clinic Administrator & Personal Assistant (PA) to join our healthcare team in Croydon. This role involves managing administrative tasks within the clinic while providing dedicated personal assistance to the clinic director and management team.

The ideal candidate will possess excellent organisational skills, proficiency in various office software, and a professional demeanor to ensure smooth daily operations. This paid contract position offers an excellent opportunity to contribute to a reputable healthcare facility while utilising your administrative expertise within a supportive healthcare environment.

Scope of Services (Duties)

As an independent contractor, you will handle your own daily workflow to deliver the following services efficiently:

Dental Reception & Patient Management: Act as the main point of contact for our dental and wellness patients. Manage complex dental appointment scheduling, handle initial patient triage for dental emergencies, and coordinate patient records with high attention to detail. Handle phone inquiries with professional etiquette and direct calls appropriately.
Director & Management Support: Manage correspondence via email and other communication channels for the director and management team. Organise meetings, prepare agendas, and take minutes as required.
Data & System Maintenance: Maintain accurate data entry within electronic health records and other clinic databases. Support staff with general clerical duties such as filing, photocopying, and document management.
Financial Administration: Utilise QuickBooks, Microsoft Office, and Google Workspace for administrative tasks and basic bookkeeping functions, including assisting with patient invoicing and billing for dental/wellness treatments.
Compliance & Efficiency: Ensure the clinic’s administrative processes remain efficient and fully compliant with relevant internal policies and Care Quality Commission (CQC) standards.

Requirements & Qualifications

To successfully deliver these services, you should meet the following criteria:

Status: Must be registered as self-employed in the UK (with a valid UTR number) and responsible for your own tax and National Insurance.
Experience: Proven administrative experience, preferably within a healthcare, dental, or medical setting. Familiarity with dental terminology or dental practice software is highly advantageous.
Software Skills: Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools. Experience with QuickBooks or similar accounting software is highly desirable.
Communication: Exceptional phone etiquette and communication skills, with the ability to handle patient inquiries calmly and professionally.
Execution: Strong organisational skills with a proven ability to prioritise tasks effectively, work independently, and maintain high accuracy and typing speed during data entry.
Discretion: Competent in handling highly confidential patient and business information discreetly.
