- Liaise with suppliers to obtain quotes, confirm orders, manage deliveries and resolve invoice queries.
- Support the Office Manager with day-to-day administrative tasks including correspondence, filing and document management.
- Assist with project administration, including setting up new projects on Sage and maintaining accurate project cost records.
- Reconcile purchase invoices against purchase orders and delivery notes, escalating discrepancies as required.
- Maintain accurate records of subcontractor and supplier documentation, including insurance certificates and accreditations.
- Support HR administration duties including maintaining personnel files, coordinating inductions and processing timesheets.
- Assist with monthly reporting, cost tracking and budget monitoring as directed by the Office Manager.
- Handle incoming calls, emails and post, directing queries appropriately and providing a professional first point of contact.
- Carry out any other administrative duties as required to support the wider team.
Skills & Qualifications
- Proven experience using Sage software, specifically the projects and purchasing modules — essential.
- Strong administrative background, ideally within construction, facilities management or a similar trade environment.
- Excellent attention to detail with the ability to manage and prioritise a varied workload.
- Good communication and interpersonal skills, with a professional and approachable manner.
- Proficient in Microsoft Office, including Word, Excel and Outlook.
- Ability to work independently and as part of a small, close-knit team.
- Previous experience in a purchasing, procurement or buying support role desirable.
- Knowledge of construction or roofing/cladding industry terminology an advantage.
