Admissions Officer - Cambridge Online Education
Location: Remote (UK-based)
Contract: Full-time
Hours: 7.5 hours per day (typically 9:00–17:00), with potential for flexible scheduling
Salary: £13 per hour + performance-related bonus

Role Purpose
The Admissions Officer leads the full admissions process from first enquiry through to onboarding, ensuring every family experiences a clear, warm, and well-organised journey into the Cambridge Online Education group. The role includes managing the school’s CRM (HubSpot), overseeing all admissions communication, and coordinating taster sessions and open events — ensuring relevant staff are informed, prepared, and aligned. You will maintain accurate, up-to-date admissions pipelines and student databases, adding new user accounts and ensuring all required registration forms, fees, and invoicing steps are completed before onboarding. This includes setting up new users across Microsoft systems and iSAMS. The role requires strong operational oversight, excellent communication, and a commitment to delivering a smooth, professional, and child-centred admissions experience.
Key Responsibilities
Admissions Leadership & Process Management
· Lead the full admissions journey from first enquiry through to onboarding.
· Maintain a clear, accurate, and up-to-date admissions pipeline, ensuring every stage is completed in a timely and professional manner.
· Ensure families complete all required registration forms, fee payments, and invoicing steps before onboarding.
· Oversee the transition from accepted applicant to enrolled student, ensuring all systems and accounts are correctly set up.
CRM & Data Management
· Manage the school’s CRM (HubSpot), ensuring all enquiries, communications, and workflow stages are logged accurately.
· Monitor and update admissions dashboards, reports, and automated processes.
· Maintain student databases and digital records to a high standard of accuracy.
· Create and manage new user accounts across Microsoft systems and iSAMS.
Communication & Family Experience
· Lead all admissions communication, ensuring clarity, warmth, and consistency across email, phone, and CRM channels.
· Provide timely responses to enquiries and guide families through each step of the admissions process.
· Communicate expectations, timelines, and next steps clearly to ensure families feel supported and informed.
Events & Coordination
· Schedule and coordinate taster sessions, open events, and admissions meetings.
· Ensure relevant staff are informed, briefed, and prepared for all admissions-related events.
· Track attendance, follow-up actions, and outcomes from events within the CRM.
Safeguarding & Suitability
· Work closely with the Designated Safeguarding Lead to identify and escalate any concerns arising during admissions.
· Ensure all admissions decisions reflect the school’s safeguarding culture and capacity to meet individual needs.
· Support suitability assessments for pupils with additional needs or complex backgrounds.
Collaboration & Continuous Improvement
· Liaise with teaching, pastoral, safeguarding, and administrative teams to ensure smooth handovers and consistent information-sharing.
· Identify opportunities to streamline admissions processes and improve family experience.
· Contribute to policy development, compliance checks, and strategic planning related to admissions.
Person Specification
Essential
· Experience leading admissions in a school or education setting.
· Strong understanding of safeguarding, SEND, and suitability considerations.
· Exceptional communication skills — warm, clear, and confident.
· Ability to manage complex caseloads with discretion and sound judgement.
· Highly organised, with strong attention to detail and data accuracy.
· Comfortable working in a fast-paced, evolving online environment.
· Commitment to inclusive, child-centred practice.
Desirable
· Experience in online or alternative education models.
· Knowledge of independent school standards and compliance.
· Experience supporting families through transitions or complex educational journeys.
