Job Overview

We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring that administrative tasks run smoothly and efficiently. Your energetic approach and attention to detail will support our team’s productivity and create a welcoming environment for visitors and staff alike. This paid position offers an exciting opportunity to develop your administrative skills while contributing to a vibrant workplace.

Responsibilities

Manage front desk operations, greeting visitors and directing phone calls with professional courtesy and excellent phone etiquette
Maintain organized records through data entry, filing, and document management using Microsoft Office, Google Workspace, and QuickBooks
Coordinate scheduling for meetings, appointments, and events to ensure seamless daily operations
Handle incoming and outgoing correspondence, including emails, mail, and deliveries
Support accounting tasks such as invoicing, expense tracking, and basic bookkeeping using QuickBooks
Assist with office supply inventory management and procurement to keep the workspace well-stocked
Perform general clerical duties including typing reports, updating databases, and supporting team members as needed

Requirements

Proven office experience with strong organizational skills and attention to detail
Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and basic data entry techniques
Prior administrative experience with familiarity in clerical tasks such as filing, scheduling, and correspondence management
Excellent phone etiquette with the ability to communicate clearly and professionally over the phone
Strong organizational skills with the ability to multitask effectively in a fast-paced environment
Typing speed of at least 50 words per minute for efficient document processing
Knowledge of QuickBooks or similar accounting software is preferred but not required
Ability to adapt quickly to new software tools and office procedures
