Mortgage Administrator

Location: Southampton, Hampshire Salary: £23,660 – £27,000 per year (depending on experience and tech/AI skills)Job Type: Full-time, 35 hours per week Job Type: Employed

About Alexander Southwell Mortgages

Alexander Southwell Mortgages is a well-established mortgage brokerage delivering high-quality mortgage and protection advice to clients across the UK. We are a small, close-knit and forward-thinking team, and we are looking for a motivated, detail-oriented Administrator to keep our back office running smoothly.

Role Purpose

The Administrator provides comprehensive support to our team of mortgage brokers and makes sure every administrative process runs like clockwork. That means managing client documentation, liaising with lenders and solicitors, and keeping records accurate and up to date so that every mortgage application progresses without delay.

This is a dedicated administration role — it is not a stepping stone into advising. We are looking for someone who genuinely enjoys administration and wants to become excellent at it.

Key Responsibilities

Support mortgage brokers with day-to-day administration, including preparing and processing client documentation
Liaise with lenders, solicitors and estate agents to keep mortgage applications moving
Manage and update client records on our CRM, ensuring all information is accurate and current
Handle client communication — answering calls, responding to emails and managing appointment diaries
Assist with compliance checks, making sure all documentation meets required standards
Chase and follow up outstanding documentation with clients and lenders
Produce and format documents, letters and reports
Provide general administrative support including filing, data entry and reporting

Skills and Experience

Essential

Confident using a MacBook / macOS as your day-to-day machine
Strong working knowledge of Microsoft systems — Outlook, Word, Excel, Teams and SharePoint
Excellent written and verbal communication skills
High attention to detail and accuracy when handling documentation
Strong organisational skills, with the ability to juggle competing priorities calmly
Able to work independently as well as part of a small team
A professional, warm and courteous manner with clients and partners

Desirable

Previous administrative experience, ideally within financial services or property
Some prior experience using AI tools (for example ChatGPT, Claude or Copilot) in a work setting. We use AI daily to speed up drafting, research and document work — you do not need to be an expert, but curiosity and a willingness to learn are important
Experience with mortgage CRM or case management systems
