High Aims Ltd is growing rapidly and is searching for an enthusiastic, motivated and hardworking individual for the position of Project Administrator.
Our Project Administrator will coordinate project activities, including simple tasks and larger plans. The successful individual will manage schedules, arrange assignments and communicate progress to all team members. Project Administrator responsibilities include preparing action plans, analysing risks and opportunities and gathering necessary resources.
For this role, you will work with a national team, so good communication and collaboration skills are essential. You will ensure our projects meet quality standards and are completed on time and within budget.
Our aim is to deliver professional, efficient, and fully compliant project and facilities management services across a diverse portfolio of complex buildings, with particular expertise in high-rise residential developments. We provide end-to-end management, planning, and delivery of all associated works, ensuring projects are completed safely, on time, within budget, and to the highest quality standards.
Our services encompass responsive repairs, planned preventative maintenance, void property management, and comprehensive building safety programmes. We work collaboratively with clients, residents, contractors, and stakeholders to develop and implement effective solutions that protect assets, enhance building performance, and ensure ongoing compliance with statutory and regulatory requirements.
A key area of specialisation is building safety, including the management and delivery of Fire Action Programmes, fire risk assessment remedial works, critical wayfinding signage installations aligned to current regulatory standards, and essential safety upgrades. We also manage Electrical Installation Condition Reports (EICRs) across domestic dwellings, communal areas, and complex three-phase electrical systems, delivering associated remedial works and infrastructure improvements where required.
We specialise in maintaining the Golden Thread of information, ensuring that accurate, accessible, and up-to-date building data is securely captured, stored, and managed through Digital Twin systems. This enables greater transparency, improved asset management, informed decision-making, and full support for building safety compliance throughout the lifecycle of the asset.
Customer engagement is central to our delivery model. We undertake professional, proactive, and transparent communication throughout the duration of every project, ensuring residents, clients, and stakeholders remain informed, consulted, and supported at every stage. Through structured engagement plans, regular updates, and responsive customer service, we minimise disruption, manage expectations effectively, and foster positive project outcomes.
Through robust project controls, proactive risk management, and clear communication, we strive to minimise disruption while maximising value for our clients. Job Type: Permanent, Full-time role (40 hours per week)
Hours: Monday to Friday 8.00am - 4.30pm
Salary: Starting salary £28,641.60 per annum
Duties & Responsibilities
· Maintenance of Action Trackers (Excel)
· Create and update workflows
· Monitor project progress and address potential issues
· Coordinate quality controls to ensure deliverables meet requirements
· Prepare, update and collate monthly reports
· Establish working relationships with key contacts
· Prepare and provide documentation to internal teams and key stakeholders
· Act as the point of contact for all participants, answering and making calls to customers, clients and contractors
· Produce, collate and dispatch reports, certificates and letters
· Chair weekly, monthly meetings with Contractors
· Scheduling meetings, recording minutes during meetings, compile notes and send out to all relevant parties
· Scanning, copying, filing and archiving
Requirements for Project Administrator
· Experience of previously working within an administration role is preferred
· Must be able to prioritise and manage their own time, with an ability to work to deadlines and often working without day-to-day supervision
· Good attention to detail and accuracy
· GCSE English & Mathematics – Grades A-C
· Experience in the use of various software including Microsoft Office products, Excel, Word and Teams.
· The successful individual must be highly motivated, organised and willing to accept additional responsibility as required by the position
· Must be able to use their own initiative and be able to work independently or as part of a team.
· Must have excellent written & verbal communication skills and be confident within the setting they are in.
· Ability to maintain confidentiality in dealing with all work which may include personal issues of customers.
· Managing multiple priorities and demonstrating independent thinking.
· Must be dependable and trustworthy
