Full job description

Part time · 30 hours per week · Monday to Friday, 08:30–15:00 (half-hour lunch) · £25,500–£27,500 pro rata D.O.E.

Administrators are the lifeblood of a business.

Not the support act. Not the people who fill in the gaps. The ones who make everything else possible.

We’re a 10-person family business in Penarth managing over fifty residential and commercial sites across South Wales. Our property managers rely on systems that work, records that are accurate, correspondence that goes out on time, and a hundred things happening in the background that clients never see but would immediately notice if they stopped.

That’s this role. And we need someone who understands just how much it matters.

This is a role for a doer.

Not someone who waits for a task list. Not someone who needs every detail spelt out before they can start. Someone who looks at what needs doing, uses their initiative, and gets on with it.

The role spans a genuinely wide range of responsibilities — from coordinating projects with property managers and supporting a major building remediation programme with accurate administration, to assisting with compliance monitoring, company secretarial duties, lease reviews, and managing multiple inboxes. No two days are alike, and the variety is real.

If that sounds like a lot, it is. But for the right person, it’s also what makes the job interesting.

We’re not looking for someone to keep a seat warm. We’re looking for someone who helps keep the whole operation moving.

What you’ll actually be doing.

Supporting the property management team day to day and liaising with the accounts team. Coordinating projects and administration for Section 20 consultations. Supporting our in-house surveyor and Managing Director with the building remediation programme administration. Logging maintenance issues, producing reports, and keeping all records and systems up to date.

Handling telephone calls and enquiries, managing multiple shared inboxes, and producing correspondence, including breach of lease letters. Dealing with sales packs and associated documentation including LPE forms. Carrying out company secretarial duties including confirmation statements and maintaining registers. Reviewing leases and monitoring compliance.

In short: everything that keeps fifty-plus sites running smoothly behind the scenes.

What we’re looking for.

Some experience in an administrative role. Property experience is a bonus but not essential. What matters more is the right attitude, work ethic, and the ability to learn quickly. We need someone who is a real team player, has the right attitude to work both with the guidance of senior management and can use their own initiative.

Some of the role involves reviewing leases and handling sales pack enquiries and LPE forms, so a background in conveyancing, paralegal work, or legal administration would be a real advantage, though not a requirement. If you’ve worked in a solicitor’s office, a conveyancing team, or a similar environment and are looking for a change, this role might suit you particularly well.

We want someone who takes pride in doing things properly, stays on top of their workload without being micromanaged, and genuinely cares about the quality of their work. This is a role where conscientiousness makes a real difference.

What we offer.

£25,500–£27,500 pro rata D.O.E (30 hours per week)

20 days, plus bank holidays, annual leave, increasing by 1 day a year up to 25 days plus bank holidays
