Personal Assistant / Office Administrator

Location: Office-based

Hours: 8:30am - 4:30pm

We are a busy, growing scaffolding company looking for an organised and proactive Personal Assistant/Office Administrator to join our team. This is a varied role that is central to the smooth running of the business, providing administrative support, coordinating operations, and maintaining excellent communication with customers and our workforce.

Key Responsibilities

Managing the company diary and scheduling work.
Adding new jobs onto the correct Software and maintaining internal spreadsheets.
Preparing and sending customer quotations.
Raising and issuing invoices.
Allocating scaffolders to jobs and assisting with workforce planning.
Liaising with customers by phone and email, providing updates and responding to enquiries.
Maintaining accurate records and ensuring all administration is up to date.
Supporting the day-to-day running of the office.

Daily Duties

Updating and managing the work diary.
Processing new jobs.
Preparing and sending quotations.
Communicating with customers and the team.
General office administration and organisation.

Regular Responsibilities

Producing and sending customer invoices.
Monitoring outstanding payments and following up where necessary.
Ensuring invoicing is completed accurately and on time.
Keeping company records and spreadsheets updated.

About You

The ideal candidate will be:

Highly organised with excellent attention to detail.
A confident communicator with a professional telephone manner.
Able to prioritise tasks and work independently.
Competent in using Microsoft Office, particularly Excel.
Comfortable working in a fast-paced office environment.
Experienced in general PA or office administration duties.

Desirable

Previous experience within the construction or scaffolding industry.

Experience using job management software.
