Operations & Customer Care Coordinator:
Hours: Monday to Friday (start time 8am)
Contract: Full time or Part time considered
Location: Office based, Hope Street, Glasgow City Centre (next to Glasgow Central Station)
Salary: £30,000 - £35,000 Full-Time Equivalent (pro-rata based on hours worked)
Actual Salary for part time hours:
- 3 days per week: £18,000 - £21,000 per annum
- 4 days per week: £24,000 - £28,000 per annum

As our business continues to grow, we are looking for an organised and proactive Operations & Customer Success Coordinator to become a key member of our team.
The Role
This is a varied role combining customer care, operations, administration and sales support.
You will play a central role in ensuring our customers receive an excellent experience from their first enquiry through to course completion, while supporting the smooth day-to-day operation of the business.
You will work closely with management, trainers and clients, helping to coordinate activity, improve processes and ensure that nothing falls through the cracks.
Key ResponsibilitiesCustomer Care & Client Relationships
- Act as a primary point of contact for customers by telephone, email and online enquiries.
- Deliver exceptional customer service and build positive relationships with clients.
- Manage customer enquiries efficiently and professionally.
- Resolve customer issues and ensure positive outcomes.
- Monitor customer feedback and identify opportunities for improvement.
Sales & Business Support
- Prepare quotations, proposals and client documentation.
- Follow up enquiries and quotations.
- Support customer retention and repeat business activities.
- Identify opportunities to add value for existing customers.
- Maintain accurate records within our CRM system.
Operations & Administration
- Coordinate training bookings and customer communications.
- Ensure customer information and documentation are accurate and up to date.
- Support trainers and consultants with operational requirements.
- Produce reports and management information.
- Track outstanding actions and ensure deadlines are met.
- Assist in improving internal systems and processes.
Continuous Improvement
- Look for smarter and more efficient ways of working.
- Help develop processes that enhance both customer experience and operational efficiency.
- Support the management team in delivering business objectives.
What We're Looking For

You will have:
- Administration and organisational skills.
- Attention to detail.
- Communication skills, both written and verbal.
- Confidence using Microsoft Office and CRM systems.
- A passion for customer care and relationship building.
- The ability to work independently and use initiative.
Desirable Experience
- Customer success or account management experience.
- Training administration experience.
- Business development or sales support experience.
- Experience working in a highly regulated environment.
- Experience producing reports and analysing customer information.
