Join us as a Service Administrator in Shrewsbury - Job Description/Person Specification

Our team in Shrewsbury are seeking an experienced Administrator, to provide a comprehensive and efficient administrative service. Shropshire Recovery Partnership, delivered by WithYou, provides free and confidential services, without judgement, to adults and young people facing challenges with drugs and alcohol. We have main bases in Shrewsbury, Oswestry and Ludlow. We also deliver satellite clinics in Wem, Whitchurch, Market Drayton, Bridgnorth, Shifnal and Ellesmere and provide services from other community locations and from where people are based.

As a leading charity supporting people with drug, alcohol, and mental health challenges, we operate over 80 services across England and Scotland, providing free and confidential support to more than 100,000 people each year. Find out more about us here.

Job Description

This is a fixed term contract until March 2027, working on a part time basis of 20 hours per week. Days of work will be discussed with the successful candidate. There is the potential for continued employment dependent on ongoing funding.

You will mainly work from home, with some travel into our Shrewsbury office when needed.

The role will work as part of our young person's service, with support for the adult service when needed. Some interaction with young people required as part of the role i.e phone calls, text messages in order to gather feedback and complete follow up sessions after discharge from treatment.

As part of this role, you will:

Proactively support the smooth running of the administrative functions within the service
Be responsible for welcoming clients to our service
Maintain and create record-keeping systems as required
Be responsible for the receipt and processing of all referrals, screening, triage and comprehensive assessments, to input NDTMS/demographic and personal details using computerised systems
Support the service to meet local health and safety requirements
Generate prescriptions in preparation for signing by relevant clinicians
Support the management team in maintaining high levels of data quality and information management
Support the wider team with commitments, to include organising diaries, allocating, arranging, cancelling and rebooking meetings and events
Be responsible for taking, transcribing and distributing formal minutes for meetings

Essential Skills

The ideal candidate will have a successful track record in a similar role, ideally within a business support or office function. You will have excellent IT skills, including the ability to collate data and use and manage databases. You will have the ability to build and maintain effective relationships with a range of internal and external stakeholders. It is essential that you are able to manage competing/conflicting demands on your own initiative and are comfortable managing your own workload. Above all, we are looking for someone who is passionate about what we do, with a positive and engaging approach.
