Role Overview
FRJ Properties Ltd is a small but ambitious property business with a mixed commercial and residential property portfolio across Old Trafford and Manchester. The portfolio includes serviced office space, commercial offices, residential properties, and Airbnb/short-stay accommodation. The business is entering an exciting period of growth, with a new launch planned in the coming months.
We are looking for an experienced Senior Property, Sales & Operations Administrator to provide strong administrative, coordination and customer service support across the business.
This is a varied, fully on-site role supporting commercial and residential property operations, compliance administration, facilities coordination, viewings, marketing activity, listings, lead follow-up, Airbnb support, and PA-style administration. The role would suit someone highly organised, confident with people, comfortable managing multiple priorities, and able to work independently within a small team.
A local candidate, or someone with good knowledge of Old Trafford and Manchester, would be preferred.
Key Responsibilities
- Provide day-to-day administrative and operational support across commercial and residential properties, including serviced offices, commercial spaces, residential lets, and Airbnb accommodation.
- Act as a friendly and professional first point of contact for tenants, office clients, residential tenants, guests, prospective occupiers, contractors, suppliers, and partners.
- Deliver excellent customer service by responding to enquiries, requests, issues and follow-ups promptly and professionally.
- Support maintenance coordination by logging issues, contacting contractors, arranging access, chasing updates, recording costs and escalating delays or concerns.
- Keep compliance records, certificates, safety checks, tenancy documents, insurance information, licences, deposits and health and safety actions organised and up to date.
- Support site inspections by preparing checklists, recording issues, taking photos, updating trackers and following up agreed actions.
- Help coordinate cleaning, keys, access, handovers, check-ins, check-outs, meeting room readiness and general property presentation.
- Arrange and support viewings for serviced offices, commercial space, residential properties and short-stay accommodation.
- Follow up commercial and residential leads and enquiries, update records, send information, book appointments and support conversion activity.
- Maintain online listings, adverts, descriptions, photographs, availability, pricing updates and portal registrations.
- Support marketing activity across social media, commercial and residential property portals, websites, listing platforms, agents and lead-generation companies.
- Liaise with portal providers, lead-generation companies, agents and online platforms to keep listings current and enquiries moving.
- Provide administration support for the upcoming launch, including checklists, records, listings, marketing updates, systems and customer journey preparation.
- Provide PA-style support including diary coordination, reminders, follow-ups, action lists, emails, documents, reports and general organisation.
- Keep spreadsheets, booking platforms, CRM-style systems, compliance trackers, maintenance logs and operational files accurate and up to date.
- Help improve admin processes, templates, checklists and reporting so the business runs more smoothly.

About You / Experience Required
We are looking for an experienced, reliable and commercially aware senior administrator who enjoys variety and can support a busy small business.
You should have experience in commercial property, residential property, property administration, office administration, serviced offices, residential lettings, Airbnb, facilities coordination, operations support, sales administration, marketing administration, customer service, PA support or a similar environment.
You will need strong organisation, administration, communication and customer service skills, with confidence supporting enquiries, viewings, maintenance follow-up, inspections, compliance records, contractors, office clients, residential tenants, guests and online platforms.
You should be comfortable working independently with low supervision, while understanding when to escalate decisions or issues to management. You will be practical, detail-focused, responsible, calm under pressure and able to multi-task.
Strong IT skills are required, including email, spreadsheets, online portals, booking systems, listings, social media and property portals.
Experience with commercial property administration, residential lettings administration, compliance administration, property listings, portals, lead generation, maintenance logs, PA support, office management or facilities coordination would be beneficial.
Working Hours
This is a fully on-site role covering commercial and residential properties in Old Trafford and Manchester. Flexible hours can be considered, and the role may be structured as either part-time or full-time, depending on the right candidate.
Some flexibility may be required around viewings, contractor access, guest needs, launch activity and operational requirements.
Salary
£Competitive depending on experience and agreed working hours. Part-time arrangements will be calculated on a pro rata basis.

Pay: £25,000.00-£35,000.00 per year
