Booking & Scheduling Coordinator (Ultrasound)

Location: Ashford or Canterbury

Contract: Fixed Term – 13 Weeks + 2 Weeks Training

Hours: Full Time – Monday to Friday (37.5 hours per week)

Salary: Competitive, dependent on experience

About Medicare

Medicare Insourcing Services is one of the UK's leading clinical insourcing providers, delivering high-quality diagnostic and elective care services to NHS organisations across the UK.

Working in partnership with NHS Trusts, we help reduce patient waiting times by providing experienced clinical teams and operational support, enabling patients to access the care they need sooner.

We are looking for two organised and proactive Booking & Scheduling Coordinators to join our team, supporting the NHS with the delivery of dedicated Medicare ultrasound clinics.

This is an exciting opportunity to be part of a project that will directly improve patient access to diagnostic services while working closely with both the Trust's Radiology Administration Team and Medicare's Operational Team.

About the Role

This role is focused solely on booking and scheduling Medicare ultrasound clinics.

Based on-site at eitherin Ashford or Canterbury , you will be responsible for managing patient appointments for dedicated Medicare ultrasound lists, ensuring clinics remain fully utilised and patients receive a professional and efficient booking experience.

You'll work within the Trust's booking processes and systems while representing Medicare's commitment to delivering outstanding operational support to our NHS partners.

This is a busy role that requires excellent organisation, strong communication skills and the ability to manage competing priorities whilst maintaining exceptional attention to detail.

Key Responsibilities

Book patients into dedicated Medicare ultrasound clinics using the Trust's booking systems and processes.
Contact patients by telephone to arrange suitable appointment dates and times.
Provide patients with appointment details and any preparation information required before their scan.
Manage appointment amendments, cancellations and rescheduling requests.
Ensure patient demographic information is accurate before confirming appointments.
Update patient records accurately using the Trust's Patient Administration and Radiology Information Systems.
Monitor clinic utilisation and identify available capacity to maximise appointment bookings.
Escalate booking issues, capacity concerns or operational risks to the Medicare Service Delivery Team.
Respond professionally and courteously to telephone and email enquiries from patients, Trust staff and healthcare professionals.
Maintain accurate administrative records and work within agreed service targets and booking timescales.
Handle confidential patient information in accordance with GDPR, NHS Information Governance and Trust policies.
Work collaboratively with both the Trust and Medicare teams to support the successful delivery of the service.
Deliver an excellent patient experience through professional, compassionate and efficient communication.
Prepare and send patient letters.

Person Specification

Essential

GCSE (or equivalent) Grade C/Level 4 or above in English and Maths.
Experience working with members of the public.
Excellent communication and interpersonal skills.
Strong administration and computer skills.
Excellent attention to detail.
Ability to prioritise workload and manage competing priorities.
Ability to work accurately under pressure and to service deadlines.
A professional, flexible and positive approach to work.

Desirable

Previous experience working within the NHS.
Experience in a healthcare administration or appointment booking environment.
Experience using PAS, RIS or similar patient administration systems.
Experience booking outpatient or diagnostic appointments.
Understanding of NHS waiting time standards and patient pathways.

You'll enjoy speaking with patients, solving problems and working as part of a team to help ensure clinics run efficiently and patients are seen as quickly as possible.
