You’ll shape your centre’s culture, influence student experience on a large scale, and strengthen strategic decision-making under real-world pressure. Reports to: Family Course Centre Manager and additionally to other Directors and senior management within the organisation, as and when required.
Responsibilities
Set-up:
- Assist in course set-up including unpacking, distribution and storage of equipment. Ensure sufficient signage is displayed appropriately.
- Complete a full inventory and monitor usage, report any missing or damaged equipment to the Centre Manager (CM).
- Alongside the CM, assist in the activity staff induction and training and run subsequent weekly activity meetings during the course to review previous week’s activities and planning ahead for the following week
- Welcome the students on their first Monday morning and assist the CM with registration and classing.
- Set up the centre notice board with sections for notices, academic and activities. Ensure the weekly (and daily) plan of activities is displayed in an exciting and attractive way. Update board daily.
Activity Programme:
- Alongside the CM, manage the activity leader team, motivating and guiding staff, and leading by example.
- Alongside the CM, conduct observations and appraisals for activity staff.
- Monitor the Activity Programme and adapt as appropriate in consultation with the relevant Regional Operations Manager and the CM, ensuring that activities are stimulating, structured and inclusive. Communicate all changes, save and send associated paperwork to the ROM.
- Allocate and brief activity staff for all activities, supervision arrangements and excursions; ensuring staffing ratios (20:1 on Family course as parents/caregivers are present) are maintained for student safety and welfare at all times.
- Advertise and build enthusiasm for programmed activities.
- Alongside the CM, confirm all bookings for excursions with vendors, transport companies and operators.
- Monitor expenditure on the Social Programme providing full receipts and records of expenditure on course programme, ensuring that all expenses are approved by the CM.
- Ensure risk assessments are completed for all activities and excursions and that staff have read, understood and signed them.
Students:
- Participate in the induction of new students, explaining to them how the course, activities and excursions are structured.
- Ensure the attendance of all students throughout the social programme by taking regular roll calls.
- Keep parents/caregivers up to date via the WhatsApp & WeChat groups
- Take responsibility for the health, safety, welfare and discipline of the students anticipating discrimination, bullying and damage.
- Liaise with the CM each day regarding planned activities, use of additional facilities and issues of safety, welfare and discipline.
- Supervise the leisure activities ensuring health and safety measures are respected (use of correct footwear during sports, no unsupervised team games etc).
Safeguarding:
- Alongside the CM, take responsibility for the welfare of all St Giles Family students. Report any safeguarding concerns to the Family Course Centre Manager.
- All staff are required to complete online safeguarding training prior to commencement of contract.
Other:
- Assist the Centre Manager in the smooth running of the centre, including assuming overall responsibility, if required, to cover for the CM.
- Supervise and assist with lunchtimes
- Participate in regular weekly meetings with the CM and the ROM
- Assist in the closing down of the course, repacking and stock checking.
- All other reasonable requests.
Person Specification
Essential
- Eligibility to work in UK
- 18+ years old
- Native/ near native level of English
- Experience in managing a team and/ or extensive activity leader experience
- First Aid qualification
- Ability and confidence to lead by example
- Relevant qualification e.g. sports coaching, drama, dance
- Experience of working with children and/or teenagers
- Ability to react positively to quickly changing and high pressure circumstances in a calm, collaborative and professional manner
- Can-do, approachable, positive and friendly attitude
- Excellent organization and interpersonal skills
- Experience and competence in Microsoft Office packages
Desirable:
- Experience of managing budgets
- First degree
- Experience in a customer facing or customer service role
- First Aid qualification
- Relevant qualification e.g. sports coaching, drama, dance
Salary: £469 per week, plus accrued holiday pay.
Timetable
Activities & Admin Coordinators work up to 35 hours a week with one day off a week (Sundays).
A sample weekly timetable would be as follows:
- Monday 8.30am - 5.30pm (inc. 1 hr lunch) Assist with registration on Monday mornings, assist with lunches, planning, administrative tasks and Monday afternoon briefing with activity leaders
- Tuesday/Wednesday/Thursday 12.30pm - 5.30pm Assist with lunch. Head up activities alongside CM
- Friday 12.30pm - 4.30pm - Assist with lunch. Work with CM to ensure all plans in place for Saturday and the following week
- Saturday 8.30am - 5.30pm (inc. 1 hr lunch) Head up excursion alongside FCC.
Returnees
At the end of the successful completion of their contract, returnees will receive a bonus based on the number of consecutive summer seasons they have been employed by St Giles Juniors since 2023.
- 3 or more summers (2023, 2024, 2025) - £180
- 2 Summers (2024 and 2025) - £120
- 1 Summer (2025) - £60
Course dates: Courses run from 21st June to 9th August 2025
Induction and training : London Central Family – Thursday 18th and Friday 19th June
