About the Role:
We are looking for an organised, personable and proactive Administrative Assistant/Receptionist to join our friendly and professional team across our Ashby de la Zouch and Swadlincote clinics.
As the first point of contact for our patients, you’ll play a key role in ensuring a smooth and positive experience while supporting the Practice Manager and Clinical Director with the efficient running of both clinics.
Interviews will be held on Tuesday 11th August and Thursday 13th August.
This is a part-time position (24.5 hours per week), and flexibility to work across both clinic locations and cover annual leave is required.
Working Hours
Ashby Clinic (fixed hours):
- Monday: 08:15 – 16:00
- Thursday: 08:15 – 12:30
- Friday: 07:45 – 16:15
Greystone Clinic (Swadlincote):
- Either Tuesday or Wednesday
- Exact hours and chosen day to be agreed with the successful candidate
It is essential that the successful candidate can support additional cover for annual leave and sickness, which may include evening work up to 20:15 and days of up to 9.5 hours.
Key Responsibilities:
- Greet and welcome patients in a warm and professional manner
- Manage incoming phone calls, schedule appointments, and maintain clinical diaries
- Check patients in and out, verify insurance information, and collect payments
- Maintain a clean, tidy, and organised reception area
- Provide accurate information to patients in person, by phone, or via email
- Perform administrative tasks including data entry, filing, photocopying, and scanning
- Support inventory management and ordering of office and clinic supplies
- Assist with internal communication and staff coordination
- Follow up on tasks and communications as requested by the Practice Manager
- Prepare monthly treatment figures and reports
- Assist in the induction and onboarding of new staff
- Issue invoices to insurance companies and manage associated payment processes
- Recoup insurance excess payments from patients when required
- Carry out delegated tasks in the Practice Manager’s absence
About You
We’re looking for someone who is:
- Friendly, professional, and compassionate, with excellent communication skills
- Organised and detail-oriented, able to manage multiple priorities efficiently
- Confident with computers, including Microsoft Office (Word, Excel, Outlook)
- Comfortable with numbers and basic financial processes (invoicing, reporting)
- Flexible, with the ability to work at both Ashby and Swadlincote clinics as needed
- A team player, able to build positive relationships with patients and colleagues
Desirable:
- Previous experience in a medical, physiotherapy, or healthcare administration role
- Knowledge of medical terminology and patient management systems
