Facilities Manager (South West)

PERMANENT POSITION (Full Time)

The Company

Bread & Butter Collective is a specialist student lettings and property management business. We manage around 1,200 rooms across Newcastle, Nottingham, Bristol, Exeter, Falmouth and London, looking after everything from first enquiry to move-in and beyond.

The Role

Reporting to our Head of Property, you'll take ownership of a portfolio of sites across the South West - covering everything from planned maintenance and contractor management, budgets and the annual tenancy turnaround. You'll work closely with our operational teams, using our in-house systems to keep your properties safe and running smoothly and to manage portfolios in line with asset business plan objectives.

Site & Contractor Management

Build and manage a network of competent, compliant contractors for your sites, from onboarding through to day-to-day performance and invoicing
Take ownership of planned and preventative maintenance (PPM), keeping jobs on track, within your OpEx budget, and to a high standard
Get to know your buildings inside out and use that knowledge to keep them running smoothly
Appoint and support student wardens, and carry out regular site visits to check on maintenance, safety and tenant satisfaction
Lead the Property-Turn Around (PTA) for your sites at the end of each tenancy year, signing properties off ready for the next intake

Compliance & Risk

Maintain Health & Safety compliance across your sites, with regular reporting to the Compliance Manager
Manage insurance policy requirements and claims, and keep your compliance knowledge current as legislation and best practice evolve

Budgets, Records & Job Management

Help manage your sites' OpEx budgets - tracking spend, flagging risks early and suggesting ways to save
Keep property, inventory, warranty and compliance records accurate and up to date on our in-house systems
Review job requests, instruct and manage work through to completion, and review and approve contractor invoices within agreed timescales
Work closely with our Customer Services team, responding to queries and managing job approvals within your delegated authority

Self-awareness, commercial awareness and professionalism
A genuine team player
Comfortable learning and working across multiple digital systems and keeping detailed records up to date, we use in-house platforms for task management, compliance and property records, so embracing new technology is essential
Confident using Microsoft office (particularly Microsoft Excel and Microsoft Word).
A property background in building surveying, facilities management, property management, compliance or project management of residential portfolios

Desirable

Experience working with stakeholders from senior management through to contractors
Experience managing OpEx budgets
Experience working within a statutory compliance framework
Strong attention to detail when reviewing documentation

What Can We Offer You?

Salary: £30,000 to £35,000 per annum, based on experience and skills.

Exeter site-office based role with flexible working when business need allows (sometimes a couple of days a week, sometimes more). At other times, full-time office attendance will be required. We don't ask people in just for the sake of it, but you'll need to be genuinely comfortable flexing between the two. Working hours are 9am -6pm Monday to Thursday and 9am-4pm on Friday.

The role will also require frequent travel to our Falmouth site (at least monthly), though additional visits may be required. At peak times during the tenancy year, you will be expected to travel to other sites around the country and to stay overnight where necessary. Travel and subsistence will be paid for travel outside Exeter.

We offer 25 days of annual leave, plus bank holidays and 8 discretionary company Christmas days.

Unfortunately, we are unable to offer sponsorship for applicants who do not have the current right to work in the UK.

Pay: £30,000.00-£35,000.00 per year
