Purpose of Role
To carry out administrative activities that facilitate the smooth running of the office, organising people, information and other resources, and ensuring all administrative processes work effectively.
In addition to the core administration role, the successful candidate will undertake a Level 3 or Level 4 AI & Automation Practitioner Apprenticeship (depending on experience and suitability) or equivalent. The apprenticeship will equip the successful candidate with the skills to identify opportunities to improve business processes through AI and automation, helping the company develop simpler, more efficient ways of working.
Initially, the focus will be on learning the business, carrying out the administration role, and gaining a thorough understanding of existing processes. As knowledge and confidence develop, the successful candidate will be encouraged to identify repetitive, time-consuming or inefficient tasks and recommend practical improvements using AI, automation and digital technologies. Proposed improvements will be presented to the relevant teams to gain feedback and buy-in before implementation.
Duties and Responsibilities
Assisting with the following:
Facilities Management
- Assisting with the management of essential services, security, maintenance, cleaning, catering, waste disposal and recycling.
- Ensuring the premises meet health and safety requirements and facilities comply with relevant legislation.
Customer Care
- Process customer sales orders accurately and efficiently, ensuring orders are completed in a timely manner.
- Manage customer support cases from initial enquiry through to successful resolution, providing excellent customer service and maintaining clear communication throughout.
Sales Support
- Updating account plans.
- Producing product proposals.
- Logging sales opportunities in the CRM/ERP system.
- Preparing for customer visits.
- Managing product samples.
- Ensuring sales data is accurate and up to date.
Company Administration
- Providing administrative support across the business.
- Managing incoming and outgoing post.
- Arranging meetings and taking minutes where required.
- Organising travel arrangements.
- Supporting day-to-day office operations.
Skills and Attributes
- Highly organised with excellent attention to detail.
- Strong working knowledge of Microsoft Office, particularly Microsoft Excel.
- Interest in technology, AI and process improvement.
- Ability to analyse existing ways of working and identify opportunities for improvement.
- Able to work under pressure and manage multiple priorities.
- Able to work independently using own initiative.
- Exceptional written and verbal communication skills.
- Confident presenting ideas and recommendations to colleagues and stakeholders.
- Discreet with a good understanding of confidentiality.
- A collaborative team player with a proactive approach to learning and continuous improvement.
Qualifications
- NVQ Level 3 Diploma in Business Administration (preferred)
- Willingness and eligibility to undertake a Level 3 or Level 4 AI & Automation Practitioner Apprenticeship.
Experience
- Strong working knowledge of Microsoft Excel.
