Full job description

Overview
We are seeking a highly organised and detail-oriented Administrative Assistant to join our team. This role is vital in supporting daily office operations, ensuring smooth communication, and maintaining efficient administrative processes. The ideal candidate will possess strong computer skills, excellent organisational abilities, and a professional attitude to contribute effectively to our organisation’s success.

Duties

Manage incoming calls with professional phone etiquette and direct enquiries appropriately
Organise and maintain filing systems, both physical and electronic, ensuring easy retrieval of documents
Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
Prepare and edit correspondence, reports, and presentations as required
Schedule appointments, meetings, and coordinate calendars for team members
Assist with invoicing, billing, and financial record keeping using QuickBooks
Support team members with administrative tasks such as photocopying, scanning, and mailing documents
Maintain office supplies inventory and place orders when necessary
Handle confidential information with discretion and professionalism

Requirements

Proven office experience or administrative experience is essential
Strong computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Docs), and QuickBooks
Excellent organisational skills with the ability to prioritise tasks effectively
Good typing speed and data entry skills for accurate record keeping
Demonstrated ability to communicate professionally via phone and email
Attention to detail and accuracy in all work performed
Ability to work independently as well as part of a team in a fast-paced environment
Previous clerical experience is advantageous but not mandatory; training will be provided for specific software tools
