Full job description

Hours: 42.5 hours per week, 8.5 hours per day Monday to Friday & Saturday on a rota basis with TOIL

Job Type: Permanent, Full Time with 22 days annual leave and bank holidays

VMS Fleet Management Ltd is a forward thinking Contract Hire, Fleet and Accident Management Company with offices through the UK. VMS provide a wide range of services to blue chip fleet operators and Insurance Companies that includes Accident Management, Contract Hire, Repair and Maintenance Services, Vehicle Hire, Refrigeration, Salvage and Fleet Disposal.

An excellent opportunity has arisen for an experienced Hire/Workshop Administrator to join our well-established and busy commercial vehicle repair team.

Role Summary

The role of Hire/Workshop Administrator will require an extremely methodical and personable individual. In addition, you will have a keen attention to detail and be self motivated to ensure smooth administration procedures are followed to at all times. The primary aim of the Hire/Workshop Administrator is to ensure that the business needs and requirements are met, and that work is completed in an efficient and timely manner.

The key day-to-day responsibilities of this role are varied and include:

Booking and off hiring vehicles to cover accident and arising needs of staff through our Pro Hire System.

Ensure vehicles are available and ready for hire as and when required

Review of current hiring, communicating findings to clients with regard to extensions and terminations of hire periods (including company vehicles and external hires).

Capturing and billing of vehicle recharges

Communicate with sales manager to maximise fleet potential

Communicate with suppliers and customers to gain information or enquires on the prompt delivery and off hire of rental vehicles

Provide Prompt resolution of all internal and external routine queries via telephone and emails

Provide a high level of customer satisfaction for retention of clients

Maintain accurate records relating to customer communications.

General ad hoc administrative duties

Updating daily spreadsheets

Monitoring 2 inboxes

Compiling estimates for vehicle repairs using our in house system

Ordering any parts needed for repairs booked into the workshop from various suppliers Updating all systems within a timely manner on all jobs

Organising the workshop technicians, workshop driver and hire drivers when needed

The tasks and responsibilities of the Hire/workshop Administrator may change to fit the requirements of the business’ growth and development.

Key Skills Required:

The ideal candidate will have:

Strong IT skills Competent user of Microsoft Office with particular emphasis on Excel

Strong analytical skills

Ability to manage own tasks and prioritise workload

Ability to work to tight deadlines

Excellent telephone manner

Numerically competent with ability to create reports.

High levels of accuracy and attention to detail in work.

Customer focused

Effective planning and organisational skills.

Main Purpose of the Role

The purpose of this role is to provide the administrative support. This role is varied with the main emphasis being on administering fleet and controlling customer’s short-term rental requirements, Workshop administration and general Ad hoc duties deem necessary by line manager.
