As our business continues to grow, we are looking for an enthusiastic and organised Office & Finance Administrator to become an integral part of our team based in Shrewsbury.
The Role
This is a varied and rewarding role where no two days are the same.
Working closely with the Marketing Director and CEO, you will provide administrative support across the HotelBiz Group, supporting both our hotel management and e-commerce businesses.
You will be responsible for delivering excellent customer service, supporting bookkeeping activities, assisting with government and public sector tender submissions, helping coordinate day-to-day business operations and ensuring the smooth running of the office.

Key ResponsibilitiesOffice Administration
Manage the day-to-day administration of the HotelBiz Group.
Answer incoming telephone calls and respond to email enquiries professionally.
Prepare quotations, correspondence, reports and business documentation.
Maintain accurate electronic and paper filing systems.
Organise meetings, appointments and company diaries.
Order office supplies and maintain office equipment.
Support the Marketing Director and CEO with administrative projects.
Maintain accurate customer, supplier and company records.
Customer Service
Act as the first point of contact for customers.
Respond to customer enquiries via telephone and email.
Process customer orders and enquiries efficiently.
Liaise with customers, suppliers, contractors and business partners.
Resolve customer queries professionally and promptly.
Build strong customer relationships through excellent communication.
Deliver an exceptional customer experience across all areas of the business.
Finance & Bookkeeping
Process sales and purchase invoices.
Record financial transactions using accounting software.
Reconcile bank accounts and company credit cards.
Assist with accounts payable and accounts receivable.
Prepare payment schedules for approval.
Support credit control activities.
Assist with monthly bookkeeping and financial reporting.
Work closely with the company's external accountant to maintain accurate financial records.
Tender & Business Development Support
Assist the Directors in preparing tender submissions for government and public sector contracts.
Prepare, format and submit tender documentation.
Gather supporting information and required business documentation.
Maintain company policies, certifications and compliance documentation.
Monitor procurement portals and tender opportunities.
Ensure tender submissions are completed accurately and submitted on time.
Maintain tender records and submission trackers.
Assist with researching new business opportunities and procurement frameworks.
Hotel Management & E-commerce Support
Provide administrative support across both the hotel management and e-commerce divisions.
Assist with online order administration and customer communications.
Liaise with hotels, suppliers, couriers and business partners.
Support marketing campaigns and operational projects where required.
Assist with new business initiatives and company projects.
Identify opportunities to improve office systems and business processes.
General Responsibilities
Maintain confidentiality of customer and company information.
Work collaboratively across all companies within the HotelBiz Group.
Demonstrate professionalism and a positive attitude at all times.
Undertake any other reasonable duties required to support the continued growth of the business.
Skills & ExperienceEssential
Previous experience in an administration or office support role.
Excellent organisational and time management skills.

Good working knowledge of Microsoft Office (Word, Excel and Outlook) and Google Workspace
Excellent attention to detail.
Ability to prioritise and manage multiple tasks.
Experience of bookkeeping or finance administration.
Ability to work independently and use initiative.
Desirable
Experience using Xero, Sage or similar accounting software.
Experience preparing tender or bid documentation.
Experience within hospitality, hotel management or e-commerce.
Knowledge of CRM systems.
Understanding of VAT and general bookkeeping procedures.
