JOB DESCRIPTION

BACKGROUND

John Bell Pipeline Equipment Co Limited (JBP) is the market leading supplier of Line pipe, Pipe-fittings, Valves & Steel requirements. We are committed to excellent sales and after sales service. An opportunity now exists at their Inverurie operation for a document controller to work alongside the Quality Controller. This role calls for a highly proficient professional who will be responsible for the timely, accurate and efficient preparation and management of quality documentation. Full training will be given to ensure the potential candidate develops the skills required of the role.

Job Summary

We are seeking a detail-oriented and organised Accounts Assistant to join our finance team. The successful candidate will be responsible for supporting the day-to-day accounting functions of the business, with a primary focus on credit control and the administration of import and export documentation. This role requires strong communication skills, attention to detail, and the ability to work effectively across multiple departments.

Key ResponsibilitiesCredit Control

· Monitor customer accounts and maintain accurate records of outstanding balances.

· Proactively chase overdue payments via telephone, email, and written correspondence.

· Allocate incoming payments and reconcile customer accounts.

· Resolve customer invoice queries in a timely and professional manner.

· Produce aged debt reports and provide updates to management.

· Assist in setting and reviewing customer credit limits.

· Support month-end procedures relating to accounts receivable.

Import and Export Documentation

· Prepare, process, and maintain import and export documentation in accordance with company procedures and regulatory requirements.

· Liaise with freight forwarders, shipping companies, customs agents, and suppliers to ensure smooth movement of goods.

· Ensure commercial invoices, packing lists, certificates of origin, and other shipping documentation are accurate and complete.

· Monitor shipment progress and resolve documentation-related issues.

· Maintain records of import and export transactions for audit and compliance purposes.

· Support customs clearance processes and ensure adherence to relevant import/export regulations.

General Accounts Duties

· Assist with purchase ledger and sales ledger activities as required.

· Process invoices and maintain accurate accounting records.

· Perform account reconciliations and investigate discrepancies.

· Support month-end and year-end finance processes.

· Maintain filing systems and financial documentation.

· Provide administrative support to the finance department as required.

Skills and Experience

· Previous experience in an Accounts Assistant, Credit Controller, or similar finance role.

· Experience handling import/export documentation is desirable.

· A basic understanding of pipe, pipe fittings and valve commodities desirable

· Good understanding of accounting principles and credit control procedures.

· Strong attention to detail and accuracy.

· Proficient in Microsoft Excel and accounting software.

· Excellent communication and customer service skills.

· Ability to prioritise workload and meet deadlines.

· Strong organisational and problem-solving abilities.
