Full job description

Sherwood T Group provides safe, reliable home-to-school transport, with a focus on children and young people with special educational needs.

We are looking for a Senior Transport Coordinator to support the day-to-day running of our transport operations. This is a hands-on operational role, suited to someone who is organised, calm under pressure, confident speaking to people, and able to keep accurate records.

The successful candidate will help make sure routes are covered, staff are informed, issues are followed up properly, and communication between the office, drivers, passenger assistants, parents, schools and local authorities is clear and professional.

Key responsibilities

The Senior Transport Coordinator will support the daily management of school transport routes, including checking driver and passenger assistant availability, monitoring absences, helping arrange cover, updating route information, and escalating any issues that may affect service delivery.

You will communicate with drivers, passenger assistants, parents, carers, schools and local authority contacts regarding route updates, delays, concerns, incidents, complaints and general transport queries.

You will help keep operational records up to date, including route sheets, staff details, attendance records, vehicle information, incident logs, complaints, DBS status, training records and other compliance-related information.

You will support the onboarding of drivers and passenger assistants where required. This may include contacting candidates, helping them understand what documents are needed, tracking DBS progress, supporting training records and keeping the relevant internal teams updated.

You will also help monitor vehicle-related issues, including vehicle availability, breakdowns, delays, damage, maintenance updates and any matters that could affect route coverage.

A key part of the role is identifying issues early. This may include repeated lateness, staff reliability concerns, route problems, parent complaints, safeguarding concerns, missing paperwork or communication gaps. You will be expected to record issues clearly, take practical action where appropriate, and escalate serious matters to senior staff.

You may also assist with weekly reporting, including updates on route coverage, staffing gaps, recruitment progress, DBS checks, incidents, complaints, vehicle issues and operational risks.

What we are looking for

We are looking for someone who is:

Organised, reliable and able to follow through on tasks
Confident speaking to drivers, passenger assistants, parents, schools and council contacts
Calm and professional when dealing with complaints, delays or urgent issues
Comfortable using email, spreadsheets, shared folders and basic office systems
Able to keep accurate records and understand the importance of written updates
Aware of safeguarding, confidentiality and the importance of working with children and young people with special educational needs
Able to prioritise tasks in a busy transport environment
Willing to be flexible and support the wider team when needed

Experience and knowledge

Previous experience in transport coordination, school transport, SEN transport, logistics, operations, fleet support, recruitment coordination, or a similar role would be helpful.

Experience working with local authorities, schools, parents, drivers or passenger assistants would also be beneficial.

You do not need to be a senior manager for this role, but you must be responsible, organised and able to handle daily operational pressure.

Additional duties

The exact duties of the role may change depending on business needs, workload, contract requirements and staffing levels.

From time to time, you may be asked to support with recruitment calls, driver and passenger assistant onboarding, route planning, basic reporting, training records, council contract requirements, internal procedures, office administration, or other tasks linked to service delivery.

About you

This role would suit someone who wants responsibility without being removed from the day-to-day work. You should be practical, organised, clear in your communication and comfortable dealing with moving parts.

This is not just an admin role. It is also not a high-level management role. It sits in the middle, helping the business keep daily transport operations running smoothly and making sure the right information reaches the right people at the right time.
