About us

Broxmouth Courtyard is East Lothian’s newest exclusive-use, premium wedding and events venue. Our courtyard is full of rustic charm and is designed to deliver every element of our couples’ special days, providing accommodation, a private chef team and a dedicated wedding coordinator to help our couples plan their celebrations at our venue.

Delivering over 90 weddings a year, our team approach their roles with dedication, a proactive attitude and most of all, they have fun!

The role

The wedding coordinator’s role is focused on delivering excellence in event delivery and customer care.

You will guide your couples as they plan the most important day of their lives, advising on everything from table plans, menu choices, timings, accommodation options, photography locations and suppliers, to upselling additional products which could provide added value to their celebrations.

You’ll look after everything from invoicing, viewings, overseeing timings on the day, to managing anxious in-laws and problem-solving last-minute changes to guest numbers. We want our brides and grooms to leave us feeling like they’re a part of the Broxmouth family, and confident that they have been listened to, looked after and supported at every point on their journey with us.

Reporting directly to the Event Manager, key responsibilities include:

Delivering excellence in customer care – responding to client emails in a timely fashion, engaging with our wedding couples to support the planning of their celebrations and being there to oversee their experience on the day
Using your meticulous organisational skills to plan and create wedding event orders, ensuring these are communicated with the necessary kitchen and operational teams
Collaborating with colleagues across the business, attending weekly events operations meeting and supporting the continuous improvement of the business
Taking proactive ownership of invoicing for your events, ensuring they are issued and payments received on time as per set payment schedule
Seeking out opportunities, where relevant, to provide added value services to couples, with a view to driving revenue
Supporting marketing activity for the venue including contributing content to the Broxmouth Courtyard social media channels and supporting any promotional activity within the venue such as photo shoots, media visits and VIP visits

Essential requirements:

Previous event planning and management related experience (ideally within Weddings)
Excellent organisation and time management skills
Proficient in MS Office
Good understand of the hospitality and events industry
Ability to work independently as well as part of the team
Confident managing multiple events and tasks
Previous experience of working in a fast-paced environment
Excellent customer service and communication skills
