Full job description

Project Coordinator – Construction & Operations

We are looking for a smart, organised and highly resourceful Project Coordinator to work directly with the Director across construction, property, business and household projects.

This is not a traditional administrative role. We are looking for someone who takes ownership, works things out independently and makes sure tasks actually get completed.

Previous construction or project-management experience is useful, but not essential. Intelligence, initiative, common sense and organisation are more important to us than qualifications or years of experience.

The Role

A significant part of the role will involve helping manage an ongoing construction project.

You will coordinate workers and suppliers, organise materials, track progress and help make sure the project keeps moving.

You will also assist with other business, property and household projects as required.

ResponsibilitiesConstruction & Property

Coordinate labourers, builders and tradespeople.
Organise daily and weekly tasks.
Make sure workers know what needs to be completed.
Follow up on work and check progress.
Order building materials, tools and equipment.
Research products and suitable materials.
Find suppliers and compare prices.
Obtain quotations where required.
Arrange and track deliveries.
Make sure materials are available before work starts.
Coordinate electricians, plumbers and other contractors.
Keep track of outstanding work and purchases.
Take progress photographs and provide updates.
Identify potential delays or problems early.
Maintain simple records of project costs and spending.

Research & Purchasing

Research products, materials and services.
Compare specifications and prices.
Find alternative suppliers where appropriate.
Speak with suppliers and contractors.
Place and track orders.
Follow up on delayed or incorrect deliveries.
Help negotiate pricing where appropriate.

General Projects & Operations

Manage tasks assigned by the Director from start to completion.
Maintain project and task trackers.
Follow up with employees, suppliers and external parties.
Make calls and send emails or WhatsApp messages where required.
Organise appointments, meetings and site visits.
Research solutions to problems.
Prepare simple documents and spreadsheets.
Assist with property and household maintenance.
Arrange contractors, repairs, purchases and deliveries.

Using AI & Technology

We actively use technology and AI to help us work more efficiently.

You should be comfortable using or learning tools such as:

ChatGPT
Claude
Google Sheets / Excel
WhatsApp
Email
Online research and purchasing platforms

You do not need to already know every tool. You should, however, be comfortable learning new systems quickly.

Is comfortable working both from a computer and on/around construction projects.
Can manage several tasks at the same time.
Is comfortable working directly with the Director.

You could be a graduate, someone early in your career, or someone with practical experience looking for a role with considerably more responsibility.

Formal project-management or construction qualifications are not required.

What Success Looks Like

If you are given an objective, we expect you to help work out the steps required to achieve it.

For example, if a particular part of a construction project needs to be completed next week, you may need to:

Understand what work needs doing.
Check what materials are required.
Confirm labour or contractors.
Research and order the materials.
Arrange delivery.
Follow up on the work.
Report any problems that require a decision.

The aim is for you to gradually take ownership of day-to-day coordination so the Director does not need to personally manage every small task.

We are looking for someone who wants to learn, take responsibility and develop into a broader project-management role over time.

Pay: £25,420.00-£40,467.39 per year
