Bid & Proposal Coordinator

Green’s Power Ltd – Wakefield
Full-Time | Permanent | Office Based

Green’s Power Ltd is looking for an organised and proactive Bids Coordinator to join our team in Wakefield.

This is a varied coordination role supporting the preparation of bids, tenders, quotations and proposals, alongside providing administrative support to the wider sales and commercial activities of the business.

Working closely with colleagues across Sales, Estimating, Engineering, Projects and other departments, you will help bring together the information required for customer submissions, monitor deadlines and ensure documentation is accurate, complete and professionally presented.

You will also support the maintenance of our CRM, enquiry and bid status systems, helping the business effectively track current and upcoming opportunities.

The Role

Your key responsibilities will include:

Coordinating the preparation of bids, tenders and customer proposals.
Reviewing tender and enquiry documentation to identify requirements and deadlines.
Gathering information from relevant departments to support submissions.
Monitoring deadlines and following up outstanding information and actions.
Preparing, formatting and proofreading bid and proposal documentation.
Supporting the submission of completed bids and tenders through customer portals and other required methods.
Maintaining accurate records of bids, proposals and customer enquiries.
Maintaining and updating CRM and bid status systems.
Providing administrative and coordination support to sales activities.
Maintaining standard bid documentation, including company information, policies, certificates, CVs and case studies.
Assisting with customer clarification requests and coordinating internal responses.
Supporting the preparation of bid, enquiry and sales status reports.
Helping to continuously improve the organisation and consistency of bid and proposal documentation.

What We're Looking For

We are looking for someone who is highly organised, detail-focused and comfortable working across different departments to coordinate information and meet deadlines.

Previous experience within a bid, proposal, tender, sales support or similar administrative/coordination role would be advantageous.

Experience within an engineering, manufacturing, energy or industrial environment would also be beneficial, although we are equally interested in candidates who can demonstrate strong transferable coordination and administrative skills.

You should have:

Strong organisational and time-management skills.
Excellent attention to detail and accuracy.
Good written communication, grammar and proofreading skills.
Strong Microsoft Word and Excel skills.
Confidence communicating with colleagues at different levels of a business.
The ability to manage multiple tasks and deadlines.
A proactive approach to following up information and outstanding actions.
Experience using CRM systems, databases or trackers would be advantageous.
A professional approach when handling customer and commercially sensitive information.
