Summary:
Under general supervision, the Procurement Specialist will perform administrative tasks for the purchasing team and report directly to the Purchasing Manager. In this position, you will be responsible for liaising with several departments to make sure materials are purchased in a timely manner for the needs of the business to function. All functions must be performed in accordance with established company policies and procedures. The individual must have the ability to make informed decisions where necessary and be able to offer creative solutions to fulfil order requirements. They must function in a cooperative and supportive manner with all employees and demonstrate excellent communication skills when engaging with internal teams and external suppliers.
Essential duties and responsibilities include the following:
- Process material requisitions and generate purchase orders within the ERP system.
- Validate receiving documentation against purchase orders and delivered materials, updating ERP system data as required to maintain accurate inventory records, support stock traceability, and ensure discrepancies are identified and resolved promptly.
- Maintain and update vendor-related data within the ERP system, including lead times, pricing, and contracts.
- Create and validate BOMs for production jobs detailing accurate material and hardware 100% of the time.
- Perform routine inventory management processes including miscellaneous issues, miscellaneous receipts, BOM validation and stock discrepancy investigations. Report monthly adjustments to the Purchasing Manager and suggest corrective actions.
- Develop and maintain effective relationships with suppliers to ensure reliable supply of materials
- Monitor supplier performance (delivery times, quality, responsiveness), report concerns to the Purchasing Manager
- Coordinate with vendors to confirm order status, lead times, pricing negotiations and delivery schedules
- Support the Purchasing Manager in supplier negotiations on pricing, terms, and service agreements.
- Maintain supplier documentation, including contracts, certifications, and compliance records, ensuring all information remains accurate and up to date.
- Work with vendors to promptly investigate and resolve discrepancies such as shortages, damaged goods, or incorrect deliveries to minimise disruption to production and maintain material availability
- Responsible for sourcing and onboarding new suppliers in line with company procurement guidelines to improve cost efficiency, strengthen supply reliability, and support business requirements.
Work closely with procurement and production teams to ensure suppliers can meet required material specifications, lead times, quality standards, and production demands.
- Monitor supplier performance, escalate issues where required, and recommend improvements relating to delivery performance, quality, lead times, cost efficiency, and supply reliability
- Ensure vendors comply with company standards, health & safety, and quality requirements
- Procure Health & Safety products in line with company-approved specifications, operational requirements, and current compliance standards.
- Maintain and provide realistic procurement schedules to meet order demand.
- Monitor and notify other departments of material shortages as required.
- Collaborate effectively with members of the Purchasing team and support the Purchasing Manager by undertaking additional duties and responsibilities as required.
- Assess supplier capability and material availability for bespoke or high-risk requirements by applying specialised material knowledge, including tolerances, sheet sizes, finishes, and custom specifications, to support procurement decisions and job feasibility.
- Obtain supplier samples on request.
- Assist with annual inventory
- Accurately maintain FSC-related records and system data, including certified material details, supplier certification information, and traceability documentation, to support ongoing Forest Stewardship Council (FSC) compliance and audit requirements.
- Follow and promote safe work practices and report on all hazards, unsafe acts and conditions immediately to your manager
- Maintain good housekeeping practices and always follow health and safety protocols
- Participate and submit new and improved work methods in alignment with the Suggested Method Improvement program
- Perform other duties as assigned
Qualifications:

Education and/or Experience:
- Chartered Institute of Procurement and Supply (CIPS) Level 3 or 5
- HNC/HND or equivalent in Supply Chain, Engineering or Business
- A-C / 5-9 GCSE in Maths and English
- Minimum of 5+ years of procurement background.
- Intermediate Microsoft Office skills, use of pivot tables, analysis, etc.
- Intermediate ERP experience, including processing purchase orders, maintaining supplier and inventory data, updating BOM information, and generating procurement-related reports. Strong decision-making, problem-solving, and analytical skills, with the ability to identify issues, evaluate options, and implement effective solutions using sound judgement.
