We are seeking highly organised Project Coordinators to support the successful delivery of our field based operations.
About The Role
The Project Coordinator role sits within The Hub. The Hub is a centralised service providing assistance to delivery teams through project coordination and administrative support, sharing knowledge and client insights, and monitoring quality and assurance.
The ultimate purpose of the role is to lead the day-to-day planning, scheduling and deployment of all field-base operations.
As part of the operational hub, you will follow the appropriate processes to ensure that field-base operatives are attending and completing as many work orders as is practical – both in respect of compliance (client/contract response times being met) and also quality (sufficient time is allowed for works order completion).
Field-based operatives work nationwide and for a variety of clients and include directly employed operatives and subcontracted associates. You work as part of the wider team to ensure that we are booking as many appointments as is possible to support the delivery of a range of surveys, as well as planning themselves.
You will be the first point of contact for clients, fostering proactive, positive, productive and long-lasting client relationships.
You will implement the relevant scheduling processes in order to effectively deploy field-base operations in the most efficient way, ensuring we book sufficient appointments on a contract-by-contract basis to fulfil the contract requirements and thus drive our operational and commercial performance.
You will work flexibly within the team, deploying resource for all field based operations. Working collaboratively with the Head of Operational Delivery, other Project Coordinators, field-base operatives and operations leaders (leaders within Pennington Choices) building rapport and trust.
In addition, you will manage client enquiries promptly and professionally. Confidence with operating multiple works management systems is vital.
Responsibilities include:
- Diary management to ensure field-base operatives are fully allocated work
- All client communications with regards to new projects, project status and progression of planned works
- Management of scheduling activity
- Client query resolution
- Attend monthly client meetings (via TEAMS/ Zoom)
- Allocation of projects each day to the scheduling team
- Day to day work allocation and supervision of the schedulers
- Project set up
- Reporting – no access, call logs, productivity
- Weekly project review
- Audit scheduling
- Scheduling appointments for field-based operatives across the business – being conversant utilising multiple works management systems
- Handling and resolving telephone and email enquiries from clients and colleagues
- Liaising with, and directing, field-based operatives
- Reallocation of work (surveyor sickness, refill no access appointments)
- Review of surveyor’s diaries for the following day to ensure maximum productivity and low volumes of travel between appointments.
- Sharing ideas and insight in order to continually improve the scheduling function including increasing appointments made, appointments kept and properties accessed
- Understanding of each contract’s response times and service level agreements (SLAs)
- Identifying and escalating early warnings for risk to response times/SLAs, productivity outputs and process
- Understanding the difference between planned and responsive works and the differing approach to each in order to manage demand and minimise cost Specific team targets will include:
- Tangible productivity improvement
- Percentage of work orders fulfilled (in terms of appointments made, access and completion)
- Customer satisfaction with deployment/attendance
- Ensuring that all work orders are undertaken in a time and cost-efficient manner – both planned and responsive works orders are managed effectively.
There are no mandatory qualifications required for this role. It is more important to assess relevant competencies and personality attributes.
This role may suit experience in a deployment and scheduling role (not sector/market specific). The role will suit outgoing and friendly individuals that are able to build rapport.
We are looking for someone that has:
- Strong interpersonal and communication skills (written and oral).
- Strong IT skills including Microsoft Office, particularly Word, Outlook and Excel.
- Strong planning and organisational skills, with high attention to detail.
