The Role
We are looking for a highly organised and dependable Personal Assistant to support the Director of our senior management consultancy on a part-time basis (3 days per week). This is a fully remote role, with very occasional in-person visits to the office — typically less than once a month.
The core focus of the role is inbox and calendar management: acting as the first point of contact for the Director’s communications, gatekeeping and prioritising correspondence, and ensuring their schedule runs smoothly. You will need to exercise sound judgement, maintain absolute discretion, and build trusted working relationships with internal and external stakeholders.
This role suits a confident, self-directed PA who thrives working independently in a remote setting and can be relied upon to manage communications and schedules with minimal supervision.

Key Responsibilities
Email & Inbox Management
- Serve as gatekeeper for the Director’s inbox, triaging, prioritising, and actioning correspondence on their behalf
- Draft and send responses to routine and semi-routine emails, escalating matters requiring the Director’s direct input
- Monitor incoming communications across working days and flag urgent or time-sensitive items promptly
- Maintain a clear and organised email filing system to ensure key correspondence is easily retrievable
Diary & Meeting Coordination
- Manage the Director’s calendar, scheduling and coordinating meetings with clients, stakeholders, and internal colleagues
- Resolve diary conflicts proactively and ensure the Director is well-prepared ahead of each commitment
- Issue meeting invitations, circulate agendas, and follow up on actions and outcomes where required
- Liaise with counterpart PAs and EAs in client and partner organisations to confirm scheduling arrangements
Stakeholder Communications
- Act as a professional and personable first point of contact for those seeking the Director’s time or attention
- Build positive relationships with key contacts across the defence, public sector, and consulting community
- Handle sensitive and confidential information with the highest degree of discretion
Ad Hoc Travel & Logistics
- Occasionally arrange travel and logistics for in-person meetings or events when required — typically infrequent
- Book transport and accommodation in line with Celestial Commercial’s policies when needed
General Administration
- Provide light-touch administrative support as needed, including document preparation and expense processing
- Support the smooth day-to-day running of the Director’s working schedule across the three working days
Person Specification
Essential
- Proven experience as a PA, EA, or senior administrator supporting a senior leader or director
- Excellent inbox and diary management skills, with a confident, proactive approach to gatekeeping communications
- Strong written English with the ability to draft professional correspondence independently and accurately
- High level of discretion and integrity when handling sensitive or confidential information
- Self-motivated and organised, with the ability to work effectively and reliably without close supervision in a remote setting
- Proficiency in Microsoft 365 — particularly Outlook, Word, and Teams
- Excellent interpersonal skills and a professional, calm manner when dealing with senior stakeholders
Desirable
- Prior experience supporting senior leaders within a consulting, professional services, or public sector environment
- Familiarity with the defence or public sector landscape, including awareness of key stakeholders and client types
- Experience working part-time or in a remote-first role with minimal day-to-day oversight
