Full job description

Overview
We are seeking a professional and organised Receptionist to join our team. The ideal candidate will be the first point of contact for visitors and callers, providing excellent customer service and ensuring smooth daily operations.

Duties

Fluent in Chinese and English
Greet visitors and clients in a courteous and professional manner
Answer incoming phone calls using proper phone etiquette and direct calls accordingly
Manage appointment scheduling and coordinate meetings using organisational skills
Handle incoming and outgoing correspondence, including emails and postal mail
Perform data entry tasks accurately using Microsoft Office, Google Workspace, or QuickBooks as required
Maintain organised records of visitors, calls, and administrative documents
Assist with general administrative duties such as filing, photocopying, and organising office supplies
Support other team members with clerical tasks to ensure efficient office operations

Skills

Proven office experience with strong organisational abilities
Proficient computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Experience with data entry and basic bookkeeping using QuickBooks or similar programmes
Excellent phone etiquette with the ability to communicate clearly and professionally
Strong organisational skills with attention to detail and accuracy in all tasks
Previous clerical or administrative experience is desirable but not essential; training will be provided for specific systems used within the organisation
