Full job description

Summary

Pro EV is looking for a highly organised and proactive Operations Executive to support the day-to-day running of our nationwide EV installation operation. This is a varied role that sits at the heart of the business, ensuring engineers have everything they need to complete installations efficiently while maintaining accurate operational records and supporting compliance processes.

You'll work closely with Operations, Scheduling, Compliance, Fleet and Customer Success teams to keep jobs progressing, paperwork completed and systems up to date. If you enjoy multitasking, solving problems and working in a fast-paced environment, this role offers an excellent opportunity to develop within a growing business.

Key Responsibilities

1. Operational Support

Provide day-to-day administrative support across the Operations team.
Process and monitor job paperwork, ensuring all documentation is completed accurately and on time.
Update internal systems with job progress, operational information and completion records.
Ensure operational records remain accurate and up to date.

2. Stock & Parts Coordination

Process stock requests and job-specific parts orders.
Coordinate materials required for engineer installations.
Liaise with suppliers and internal teams regarding stock availability.
Maintain accurate stock administration records.

3. Compliance & Workforce Administration

Coordinate workforce compliance activities including:
DBS checks
Driving licence checks
Health & Safety training records
PPE records
Equipment calibration records
Training and competency documentation
Monitor expiry dates and ensure renewals are completed on time.
Support the collection of documentation for audits and compliance requirements.

4. Service & Operations Administration

Log service calls and faulty charger reports.
Maintain operational records including:
Fleet documentation
Fuel cards
Toll accounts
Uniform records
Traffic fines
Company registers
Ensure documentation is accurate, organised and audit-ready.

5. Communication & Team Support

Monitor and action Operations inboxes and Slack channels promptly.
Respond to internal queries and ensure requests are directed to the appropriate teams.
Work collaboratively across departments to keep installations moving efficiently.
Support continuous improvement by identifying opportunities to streamline operational processes.

Essential Skills & Experience

Previous experience in an administration or operations support role.
Excellent organisational and time management skills.
Strong attention to detail and accuracy.
Ability to manage multiple tasks in a fast-paced environment.
Confident communicator with excellent telephone and written communication skills.
Strong IT skills, including Microsoft Office and the ability to learn new systems quickly.
Experience maintaining accurate records and documentation.
