About the Role
We are looking for a highly organised, confident, and experienced Office Manager to take ownership of the day-to-day running of our busy office.
This is not a traditional administration role. We are looking for someone who can confidently run the office, manage workflows, support operational growth, and help modernise the business. You will be expected to work independently, make decisions, implement systems, and use modern technology—including AI tools—to improve efficiency and productivity.
Working directly with the business owner and supporting multiple site teams, you will be responsible for ensuring the office runs smoothly, efficiently, and professionally. This is a key position within the business and will suit someone who enjoys taking ownership, solving problems, and driving improvements.
You must be capable of managing an office independently, prioritising workloads, making confident decisions, and ensuring tasks are completed without constant supervision. If you are not confident running an office environment and managing multiple responsibilities simultaneously, this position will not be suitable.
As a growing business, we need someone who can take initiative, identify problems before they arise, and help improve our internal systems and processes.
Key ResponsibilitiesOffice Management
- Take full responsibility for the smooth day-to-day running of the office.
- Manage and prioritise workloads across multiple ongoing projects.
- Ensure administrative processes are completed accurately and on time.
- Monitor workflows and ensure deadlines are met.
- Work independently for approximately 50% of the time with minimal supervision.
Communication
- Act as a key point of contact for customers, suppliers, and site teams.
- Handle incoming calls and emails professionally and confidently.
- Liaise directly with clients regarding quotations, scheduling, invoicing, and project updates.
- Maintain excellent relationships with customers and stakeholders.
Workflow & Operations
- Coordinate ongoing jobs and maintain accurate progress tracking.
- Prepare and issue quotations and invoices.
- Schedule works and ensure site teams have the required information and documentation.
- Track outstanding actions and ensure nothing falls through the cracks.
- Support operational planning and resource coordination.
Documentation & Compliance
- Prepare and manage work-related documentation including:
- Method Statements
- Risk Assessments
- Planning Applications
- Customer and project records
- Maintain organised digital and physical filing systems.
- Ensure company records remain accurate and up to date.
Business Support & Systems Development
- Review existing office procedures and identify improvements.
- Help develop and implement systems to support business growth.
- Introduce efficiencies and modern working practices.
- Support the business owner with operational, administrative, and strategic requirements.
Modern Thinking & Leadership
As a growing business, we are looking for someone who embraces modern ways of working and is comfortable using technology to improve efficiency.
We want an Office Manager who:
- Actively uses modern software and AI tools (such as ChatGPT, Microsoft Copilot, or similar) to improve productivity and streamline administrative tasks.

- Identifies problems and presents solutions rather than waiting for instructions.
- Has strong leadership qualities and can confidently manage workflows, priorities, and communication between office and site teams.
- Is comfortable challenging outdated processes and helping implement improvements.

- Is motivated by helping a growing business become more efficient, organised, and successful.
We are not looking for someone who simply follows a checklist. We are looking for someone who can think independently, make decisions, embrace technology, and help drive the business forward.
Essential RequirementsExperience
- Previous experience as an Office Manager, Senior Administrator, Operations Coordinator, Business Support Manager, or similar role.
- Proven ability to manage an office environment independently.
- Experience coordinating multiple projects, deadlines, and stakeholders simultaneously.
Skills
- Excellent organisational and time-management skills.
- Strong leadership and decision-making ability.
- Professional verbal and written communication skills.
- High level of attention to detail.
- Strong Microsoft Office skills, particularly Excel, Outlook, and Word.
- Confidence using modern software and technology platforms.
- Ability to prioritise multiple tasks and work effectively under pressure.
- Strong problem-solving skills and a proactive approach to work.
