The role

Job Title: Pastoral Support Team Administrative Assistant (Maternity Cover)

Contract: Fixed Term Maternity Cover, beginning asap from 1st September 2026.

Hours: Full Time, Monday to Friday, 8.30am to 4.00pm

Responsible To: Family Support Team Manager

Job Purpose
To provide high-quality administrative, pastoral and family support to the school's Pastoral Support Team. The post holder will work closely with pupils, families, external agencies and school staff to promote pupil wellbeing, attendance, safeguarding and
positive outcomes for children and young people with special educational needs and disabilities.

The role requires excellent organisational and communication skills, a commitment to safeguarding and an ability to build positive relationships with families and professionals. The post holder will act as a key point of contact between home and school and support the effective delivery of the school's pastoral and family support provision.

Key Responsibilities

Safeguarding and Family Support
Create and distribute the weekly Safeguarding Notes and Safeguarding Bulletin.
Monitor and maintain safeguarding records and systems, including CPOMS.
Produce reports and information from safeguarding systems as required.
Make telephone contact with parents and carers regarding low-level concerns and welfare matters.
Undertake regular check-ins with pupils and families to support positive engagement with school.
Support the Family Support Team Manager with attendance monitoring and follow-up activities.
Signpost families to relevant services, support agencies and community resources.
Create appropriate social media and Facebook communications to promote family support opportunities and local services.
Contribute to safeguarding and child protection processes in accordance with school policies and procedures.

Multi-Agency Working
Attend Team Around the Family (TAF) and Child in Need (CiN) meetings on behalf of the school where directed.
Prepare school contributions and supporting documentation for meetings.
Take accurate and professional minutes during TAF, CIN and other pastoral meetings.
Create and maintain Think Family Assessments and associated documentation.
Liaise effectively with external professionals and agencies.
Facilitate visits from external professionals, families and support agencies.

Administrative Support

Provide comprehensive administrative support to the Pastoral Support Team.
Maintain accurate records, files and confidential documentation.
Produce reports, correspondence, meeting notes and other documentation as required.
Ensure all information is recorded and stored in accordance with GDPR and confidentiality requirements.
Manage and monitor the Personal Assistant (PA) hours advertisement process and maintain the PA opportunity board.

Family and Community Engagement
Maintain and oversee the school's Uniform Bank, ensuring resources are accessible and appropriately distributed to families.
Support the planning, organisation and delivery of school, family and PTA events.
Promote positive engagement between home and school.
Assist families in accessing appropriate support, guidance and services.

Transition Support
Support the Pastoral Team with pupil transition arrangements throughout school and into post-16 and college provision.
Assist with the coordination of transition meetings, visits and information sharing.
Support pupils and families during periods of change and transition.

Pupil Support
Support pupils at the beginning and end of the school day as required.
Build positive relationships with pupils to encourage engagement, attendance and wellbeing.
Provide practical and emotional support under the guidance of the Pastoral Team.

Home Visits
Undertake home visits, where appropriate and authorised, alongside relevant staff members or independently where deemed appropriate by the school.
Record outcomes and actions arising from home visits in line with school procedures.

General Responsibilities
Maintain professional standards and confidentiality at all times.
Contribute to the safeguarding and promotion of the welfare of children and young people.
Participate in training, supervision and professional development opportunities.
Attend staff meetings, training days and relevant meetings as required.
Comply with all school policies, procedures and health and safety requirements.
Undertake any other duties commensurate with the grade and nature of the post as reasonably requested by the Headteacher or Family Support Team Manager.
