The Opportunity
As a Travel Operations Specialist you will be responsible for the behind-the-scenes management of client’s itinerary once they have chosen to book with Audley. This role focuses on administrative tasks and the end-to-end operation of trips ensuring a smooth and trouble-free journey for our clients from the moment of booking confirmation until their return home.
You will work closely with our sales teams (Country Specialists), other Audley teams (Operations, Product, Finance and Ticketing), and our partners on the ground (Ground Handling Agents or GHA) to deliver a high standard of quality, service and trip satisfaction. Although the role is not client facing, it involves liaising with various internal and external stakeholders, including Country Specialists and our ground agents worldwide.
Key responsibilities include:
Booking process:
- Confirm all elements of client itineraries accurately and on time, in line with SLAs.

Follow up promptly on unavailable services to ensure timely confirmation, including flights.

Process itinerary changes with Country Specialists and GHAs, ensuring all updates are accurate.

Book, confirm and amend ancillary services as required.
Quality Assurance:
- Complete all booking checks and authorisations following documented processes.

Ensure confirmations are accurate.

Maintain timely authorisations to support consistent service delivery.
Pre-Travel Process:
- Finalise all booking and flight details ahead of departure, cross checking with GHAs and Country Specialists.

Ensure booking records and costings are accurate; resolve discrepancies.

Prepare accurate, personalised final travel documentation.

Flag any inaccuracies in centrally saved product content.
On Trip Operations:
- Where required, provide support with operational issues while clients are travelling, including amending reservations and reissuing documentation when itineraries change.
We value our people’s wellbeing and understand the importance of flexibility. That’s why we offer hybrid working, with the opportunity to split your time between one of our offices and working remotely from anywhere in the UK. We ask that employees are office-based for a minimum of 3 days per week.
Please note the office is in a rural location with limited public transport options, so we recommend reviewing your travel arrangements before applying. The work pattern for this role is 9–5:30pm Monday to Thursday and 9–5pm on Friday.

Experience of working in the travel industry would be an advantage, but not essential

Experience using CRM systems, including understanding supplier costing and flight booking processes, is desirable
