Contract Type: Permanent

Hours: 30 hours per week
Salary: £20,685.43 per annum
Reports to: People & Culture Manager

About the Role

We're looking for a highly organised and proactive People & Culture Assistant to join our People & Culture team. This is a fantastic opportunity for an experienced administrator who thrives in a fast-paced environment and is looking to build a career in HR, with the opportunity to complete a CIPD Level 3 Apprenticeship.

In this role, you'll provide administrative and operational support across the employee lifecycle, including recruitment, onboarding, HR systems, office management, and employee wellbeing. You'll play a key part in ensuring our People & Culture processes run smoothly, efficiently, and in line with company policies and GDPR.

Key Responsibilities

Recruitment

Coordinate the Applicant Tracking and Recruitment (ATR) process from vacancy approval through to offer.
Advertise vacancies across agreed recruitment platforms.
Complete candidate shortlisting against agreed criteria where appropriate.
Undertake initial candidate screening when required.
Prepare and issue offer letters and contracts of employment.
Liaise with recruiting managers and recruitment agencies throughout the recruitment process.
Maintain accurate recruitment records and documentation.
Produce recruitment reports and monitor key performance indicators, including: time to hire, offer acceptance rates and vacancy activity and recruitment progress.

Onboarding

Coordinate the onboarding process using BOB.
Meet with new employees to complete their onboarding and introduce key systems and benefits, including: MyEB, Help@Hand, BOB.
Administer staff discount access through Shopify and EPOS systems.
Manage employee access cards and associated records.
Verify new starter documentation to ensure completeness and accuracy, including: Right to Work documentation, Employment references and reference requests, Work with managers to ensure all onboarding activities are completed before and during an employee's first weeks of employment.

HR Systems and Administration

Maintain accurate employee records within the HR Information System (HiBob).
Ensure employee data is updated promptly following contractual or personal changes.
Carry out regular audits to maintain data accuracy and integrity.
Support the administration of employee records throughout the employee lifecycle.

Compliance

Ensure all employee records are maintained in accordance with GDPR requirements.
Maintain confidentiality when handling employee information.
Ensure documentation is stored securely and in line with company policies.
Support compliance with employment legislation and internal People & Culture procedures.

Team Support

Work collaboratively with the wider People & Culture team to support the delivery of departmental objectives.
Provide administrative support for People & Culture initiatives and projects as required.
Assist colleagues during periods of absence or increased workload to ensure continuity of service.
Contribute to the continuous improvement of People & Culture processes and administrative practices.

Office Management

Manage the day-to-day operation of the People & Culture office and reception area.
Receive visitors and provide a professional first point of contact for employees, candidates and external visitors.
Manage incoming and outgoing post and deliveries.
Monitor and replenish office stationery and supplies.
Maintain responsibility for petty cash and safe management in accordance with company procedures.
Support the smooth running of the office environment and liaise with internal departments and external suppliers as required.

Employee Welfare

Maintain supplies of tea, coffee and other kitchen provisions.
Coordinate lunches and refreshments for meetings, training sessions and employee events.
Support employee wellbeing initiatives through the provision of workplace facilities and resources.

About You

Proven experience in an administrative role, ideally within HR /People and Culture or a similar environment.
Strong organisational and time management skills with the ability to prioritise and multitask.
High attention to detail and accuracy, particularly in data entry and document preparation.
Excellent communication and interpersonal skills.
A team player with a proactive and flexible approach.
Confident using Microsoft Office and HR systems (experience with payroll systems is a plus).
Interest in pursuing a career in HR, with a willingness to learn and grow.
