Full job description

We are a plastic and manufacturing plant with state of the art processing. We are looking for a dynamic and determined candidate for an exciting opportunity for a dedicated and detail-oriented Accounts Assistant to join our finance team. The successful candidate will be responsible for a variety of accounting tasks, including processing purchase invoices, handling sales invoices, and performing bank reconciliations. This role is essential in supporting the Management Accountant and Finance Director to ensure the smooth operation of our financial processes.

Key Responsibilities:

1. SAP Transactional Purchase Invoice Processing:

o Accurately process purchase invoices in SAP Business 1.

o Ensure all invoices are matched with purchase orders and delivery notes.

o Resolve any discrepancies with suppliers and internal departments.

2. SAP Work Order Processing and Resolution of Queries:

o Process work orders in SAP Business 1.

o Address and resolve any queries that arise during the processing of work orders.

3. Sales Invoices:

o Generate and process sales invoices promptly and accurately.

o Ensure all sales invoices are recorded in the accounting system.

4. Payment Runs:

o Prepare and execute regular payment runs.

o Ensure timely and accurate payments to suppliers.

5. Dealing with Supplier Queries:

o Address and resolve queries from suppliers regarding invoices and payments.

o Maintain positive relationships with suppliers through effective communication

6. Bank Transactions and Reconciliations:

o Record and reconcile all bank transactions.

o Investigate and resolve any discrepancies in bank statements.

7. Debt Chasing:

o Monitor and manage accounts receivable.

o Contact customers to follow up on overdue invoices and ensure timely payments.

8. Directors’ Expenses:

o Process and record directors’ expense claims.

o Ensure all claims are supported by appropriate documentation and comply with company policies.

9. Payroll Hours Spreadsheets:

o Maintain and update weekly agency payroll hours in the spreadsheets.

o Ensure accurate recording of employee working hours for payroll processing.

10. Utility Costs Analysis:

o Analyze utility costs and prepare reports.

o Identify any significant variances and provide explanations.

11. Assisting with Management Accounts:

o Support the preparation of management accounts.

o Assist with month-end and year-end closing processes.

12. Other Ad Hoc Accounts Department Work:

o Perform additional tasks and projects as required by the finance team.

NB:

Finance application software in use: SAP Business 1 and Sage 50

Key skill

Excellent written and oral communication skills

Confident and friendly telephone manner

Previous experience working in a busy office environment

Advanced computer literacy (Word/Excel/Outlook/)

Ability to use database and SAP ERP system – training will be given

Team Player

Able to work under pressure
