About the Role

This is a hands-on and varied role supporting the full estate planning client journey, from initial client instructions and drafting through to completion and ongoing administration.

A significant part of the role will involve preparing and drafting estate planning documentation, including Wills, Lasting Powers of Attorney and Trusts, alongside managing client files, handling amendments, communicating with clients and liaising with external organisations.

You'll work closely with our advisers and operations team to make sure client matters progress accurately and efficiently from instruction through to completion.

We operate in a CRM-led environment, so you'll need to be highly organised, comfortable working digitally and confident managing multiple client matters at different stages.

This is not a graduate or entry-level position. We're looking for someone who already has experience working within a professional office environment and understands the importance of organisation, accuracy, communication and taking ownership of their workload.

This is also not a route to qualification as a solicitor. If your primary career goal is to complete a training contract, SQE qualifying work experience or progress towards becoming a qualified solicitor, this role is unlikely to be the right fit. We're looking for someone who wants to build a long-term career within estate planning and administration.

What You'll Do

Draft and prepare estate planning documentation, including Wills, Lasting Powers of Attorney and Trusts
Support and manage client matters throughout the full journey, from instruction through to completion
Accurately record client information, documentation, case notes and progress within Zoho CRM
Review documentation for accuracy, identify missing information or errors and escalate technical matters where required
Handle client queries, amendments and corrections professionally and efficiently
Manage completion and post-completion administration, including OPG submissions, Will storage and Trust administration
Liaise with external organisations including life insurance providers, HM Land Registry, the Office of the Public Guardian and other professional third parties
Upload, organise and maintain complete and accurate electronic client files
Work closely with advisers, administration, sales and operations teams to keep client matters progressing
Take ownership of allocated work, prioritise effectively and follow tasks through to completion
Support the wider team with other administrative and client-related work as required

Who We're Looking For

You must have previous experience working within a professional office-based administrative role. Experience within a solicitor's office, legal practice, Wills and Probate, conveyancing, estate planning, financial services or another professional services environment would be particularly advantageous.

We're looking for someone who:

Has at least 1–2 years' previous office-based administrative experience
Is exceptionally organised and takes pride in producing accurate work
Has excellent attention to detail
Is comfortable preparing and working with detailed legal or professional documentation
Can manage multiple client matters and prioritise their own workload
Takes ownership of tasks and follows them through to completion
Has strong written and verbal communication skills
Is confident communicating with clients and professional third parties
Is comfortable using CRM systems and learning new software
Can follow structured processes while also using their own initiative
Knows when to ask questions and when something needs to be escalated
Is adaptable and willing to get involved across different areas of the business

Previous experience drafting Wills, LPAs or Trusts would be an advantage, but is not essential. Training will be provided for the right person.

We're particularly interested in people who have already developed strong administrative skills within a professional environment and now want to develop specialist knowledge and build a long-term career within estate planning.

Pay: £25,000.00-£26,000.00 per year
