As the business continues to grow, we are looking for a highly organised, system-confident and detail-focused Project Coordinator & Procurement Administrator to join our Operations team.
The Role
This is a busy coordination and administration role within the Operations team, supporting projects from initial handover through to production, installation, and completion.
The role is centred around keeping project information accurate, visible, and moving. A large proportion of the work involves CRM updates, project folders, documentation, supplier orders, delivery tracking, action follow-up and clear communication with the wider team.
This role would suit someone who enjoys structured, process-led work and takes pride in keeping multiple tasks organised. It is an important coordination role that supports smooth project delivery through strong administration and attention to detail.
This is a coordinator/administrator position, not a project management or supplier management role. The focus is day-to-day project coordination, procurement administration and reliable follow-through.
What The Role Looks Like Day To Day
On a typical day, the Project Coordinator & Procurement Administrator will check emails, update CRM and project records, review outstanding actions, follow up supplier orders, monitor delivery information, update job sheets and prepare information for project reviews.
The role is built around organisation, communication and attention to detail, helping projects continue to progress through each stage of delivery.
· Review emails and outstanding actions.
· Update CRM records, project notes and trackers.
· Maintain project folders and supporting documentation.
· Place supplier orders and update purchasing records.
· Chase supplier confirmations, delivery dates and missing information.
· Update receiving records and monitor supplier deliveries.
· Prepare and update job sheets and production information.
· Support project review meetings with accurate updates.
· Escalate missing information, risks or delays when identified.
Key Responsibilities Project Coordination & Administration
· Create and maintain project records within CRM and operational systems.
· Prepare project folders, job sheets and supporting documentation.
· Monitor project progress and follow up outstanding actions.
· Support project review meetings and update actions afterwards.
· Assist with production and installation readiness.
· Escalate missing information, risks or delays where required.
· Support the smooth flow of information between departments.
Procurement Administration
· Place orders with approved suppliers.
· Update order records and delivery trackers.
· Chase supplier confirmations and estimated delivery dates.
· Monitor customer own material (COM), fabric and hardware deliveries.
· Raise and track replacement orders when required.
· Escalate supplier delays, shortages or quality issues to the relevant manager.
Project Reviews & Operational Support
· Prepare project information and action lists before reviews.
· Record updates or actions after review meetings.
· Check that documentation, notes and imagery are ready for production or installation stages.
· Follow the agreed Project Lifecycle Process and related operational procedures.
Communication
· Communicate clearly and professionally with colleagues, suppliers, designers, and clients.
· Provide updates relating to orders, outstanding information, delivery dates, and project actions.
· Raise queries promptly where information is missing, unclear, or inconsistent.
· Maintain a helpful, calm, and solution-focused approach when chasing updates.
Continuous Improvement
· Identify simple opportunities to improve administration, records, ordering, communication, or folder accuracy.
· Support the implementation of agreed operational improvements.
· Contribute positively to team objectives and Operational Excellence initiatives.
Skills & Experience Essential
· Previous experience in project administration, project coordination, procurement administration, operations administration, or a similar structured administrative role.
· Excellent organisational skills and strong attention to detail.
· Confident written and verbal communication skills.
· Ability to manage multiple tasks and follow up actions.
· Confidence using Microsoft Outlook, Excel, Teams and Office applications.
· A practical, proactive approach to chasing information and escalating issues.
· Ability to work independently on assigned tasks while following agreed processes.
Desirable
· Experience within manufacturing, interiors, construction, logistics, or another project-based environment.
· Experience placing orders, chasing supplier updates, or maintaining procurement records.
· Experience supporting project reviews, production preparation, or installation readiness.
· Familiarity with Quotient, Freshworks CRM or similar systems.

Pay: £28,675.00-£34,696.00 per year
