Full job description

Administration Assistant – Ide Lane Surgery

Location: Exeter, Devon
Job Type: Full-time (37.5 hours/week)
Contract: 12 month fixed contract (maternity cover)

Hours:

Monday: 8:00am – 4.00pm
Tuesday: 8:00am – 2:00pm
Wednesday: 8.00am - 6.00pm
Thursday: 10:00am – 4.00pm
Friday: 8.00am - 6.30pm

(Hours subject to change based on practice needs)

About the Role

We are looking for a friendly, motivated, and resilient Administration Assistant to join our supportive team at Ide Lane Surgery, located on the edge of Exeter.

This is a fast-paced and challenging role that requires someone who can stay calm under pressure, adapt quickly to changing priorities, and maintain accuracy while juggling multiple tasks. Working in a busy GP practice means dealing with a high volume of patient queries, unexpected situations, and tight deadlines. Your ability to remain professional and positive in these circumstances is essential.

You will combine patient-facing reception duties with back-office administrative responsibilities, helping to ensure the smooth operation of our practice. As a key part of our front-line team, you will play an important role in delivering a high-quality experience to our patients while supporting clinicians and colleagues with essential administrative functions.

Key Responsibilities

Greeting and assisting patients both in person and over the phone
Booking appointments and managing patient queries professionally
Processing administrative tasks such as scanning, filing, and data entry
Supporting clinicians and other staff with day-to-day administrative needs
Maintaining confidentiality and high standards of accuracy at all times

What We’re Looking For

Excellent communication and customer service skills
Strong organisational abilities and attention to detail
Resilience and the ability to work effectively under pressure in a busy environment
Confidence with multitasking and prioritising competing demands
A flexible, proactive, and positive ‘can-do’ attitude
Previous experience in administration and customer service

Desirable (but not essential):

Experience working in a General Practice or NHS setting
Familiarity with clinical systems or medical terminology
