Full job description

Overview

We are seeking a dedicated and organised Letting Admin Support to join our team. This role is essential in ensuring smooth administrative operations within our property management department. The successful candidate will provide vital support in managing lettings processes, maintaining accurate records, and delivering excellent customer service. Previous office experience and familiarity with property management software such as Alto are highly desirable. This position offers an excellent opportunity to develop your administrative skills within a dynamic environment.

Duties

Assist with the processing of tenancy applications and lease agreements using Alto or similar property management systems
Manage data entry tasks accurately, updating tenant information and property records
Handle incoming calls with professional phone etiquette, providing prompt assistance to prospective and current tenants
Support the organisation of viewings, inspections, and other lettings-related appointments
Assist in upselling additional services or products to tenants where appropriate
Maintain organised files and documentation related to lettings transactions
Provide general administrative support including photocopying, filing, and email correspondence
Respond efficiently to tenant enquiries and escalate issues when necessary
Collaborate with the lettings team to ensure timely completion of tasks and excellent customer service

Qualifications

Proven office experience, preferably within property management or a related field
Familiarity with Yardi or similar property management software is advantageous
Strong data entry skills with high attention to detail
Excellent organisational abilities and the capacity to manage multiple tasks simultaneously
Professional phone etiquette and strong communication skills
Experience in upselling or promoting additional services is a plus
Administrative experience demonstrating reliability and efficiency
Ability to work independently as well as part of a team in a fast-paced environment
