Full job description

Merrylee Dental Practice is a friendly, well-established dental practice located in the Southside of Glasgow. We provide high-quality NHS and private dental care to our local community in a modern, welcoming environment. Our close-knit team prides itself on excellent patient care and a supportive working atmosphere.

The Role

We are looking for a warm, organised and professional Dental Receptionist to be the welcoming face of our practice. This is a varied and patient-facing role at the heart of our team, ideal for someone who thrives in a busy environment, enjoys working with people, and has a genuine commitment to delivering an excellent patient experience from the moment they walk through the door.

Key Responsibilities

Welcoming patients to the practice in a friendly, professional manner and ensuring a positive first impression at all times
Managing the appointment book efficiently, booking, confirming and rescheduling appointments via phone, email and online systems
Handling a high volume of incoming calls, responding to patient enquiries and directing messages to the appropriate team member
Processing patient registrations, updating records and maintaining accurate data in the practice management system
Taking payments, issuing receipts and managing end-of-day reconciliation of the reception till
Liaising with the clinical team to ensure smooth patient flow throughout the day
Managing NHS patient registrations and assisting with the completion of NHS forms where required
Handling patient feedback and minor complaints in a calm, professional and empathetic manner, escalating where appropriate
Assisting with general administrative duties including correspondence, filing, scanning and post
Supporting the Practice Manager with ad hoc administrative tasks as required
Maintaining a clean, tidy and welcoming reception and waiting area at all times

Essential Requirements

Previous experience in a receptionist, front-of-house or customer-facing administrative role
Excellent interpersonal and communication skills, with a warm and professional manner
Strong organisational skills with the ability to multitask and prioritise in a busy environment
Confident and accurate when working with computers, databases and appointment systems
High attention to detail, particularly when updating patient records and processing payments
A positive, can-do attitude and willingness to be a team player
Discretion and professionalism in handling sensitive patient information in line with GDPR

Desirable (Not Essential)

Previous experience working in a dental or medical reception environment
Familiarity with dental practice management software (e.g. SOE/Exact, Dentally or R4)
Knowledge of NHS Scotland dental registration and patient charge processes
Experience handling online booking systems or patient communication platforms
