Could you be the person who keeps our Occupational Health service moving?

Do you enjoy coordinating a busy service, solving practical problems and making sure every customer receives a timely and professional response?

Would you like your organisation and attention to detail to support the health and wellbeing of colleagues across North East Lincolnshire Council?

If so, this could be the role for you. As our Occupational Health Coordinator, you will play a key role in supporting the delivery of a proactive Occupational Health service that helps employees stay healthy, remain in work where possible and access timely support when they need it.

What will your day look like?

You will coordinate the Occupational Health referral journey from the initial request through to the issue of the final report. As a first point of contact for employees, managers, practitioners and external providers, you will provide clear information, progress enquiries and escalate more complex matters to the appropriate colleague.

Your work will include:

Triaging new referrals against agreed protocols and directing them to the most appropriate Occupational Health clinician.

Planning and coordinating clinics, appointments and practitioner availability so that capacity is used efficiently.

Monitoring workflows, requesting missing information and keeping employees and managers informed throughout the referral journey.

Maintaining accurate, secure and up-to-date clinical and administrative records, including effective use of SystmOne.

Attending and supporting on-site clinics, raising purchase orders, processing invoices and providing general service administration.

Building effective working relationships with internal colleagues, Occupational Health practitioners and external service providers.

Identifying practical improvements to Occupational Health processes, systems, forms and data collection.

The role involves frequent changes of priority. You may need to resolve diary conflicts, respond to urgent referrals or reorganise activity at short notice while maintaining confidentiality, accuracy and a positive customer experience.

Who are we looking for?

We are looking for a highly organised, customer-focused coordinator who can use sound judgement within agreed procedures and remain calm when demands change. You will understand the importance of confidentiality, informed consent, data protection and accurate health records.

To succeed in this role, you will have experience of working within an Occupational Health or healthcare environment and will be confident coordinating multiple activities, appointments and competing priorities.

You will possess excellent communication, customer service and organisational skills, together with a strong understanding of confidentiality, health record management and the handling of sensitive information.

You will be confident using digital systems, including Microsoft Office applications, and capable of working independently whilst adapting to changing business needs.

You will also hold a Level 3 Health and Wellbeing qualification and a Level 2 Customer Service qualification, or be able to demonstrate equivalent knowledge, skills and experience.

Knowledge of local authority structures and governance would be advantageous. Experience of using SystmOne or a similar clinical records management system would also be beneficial.
