Part-Time Receptionist - Apex Clinic & Apex Headache Clinic

Apex Clinic is Northern Ireland's largest physiotherapy and sports injury clinic, providing physiotherapy, massage and chiropody/podiatry services.

We're looking for a friendly, organised, and proactive Part-Time Receptionist to become an important part of our team. As the first point of contact for our patients, you'll play a vital role in creating a welcoming, professional, and caring experience from the moment they walk through our doors or contact us by phone.

About the Role

As a Receptionist, you will:

Welcome patients warmly and ensure they receive a professional and friendly service.
Answer incoming telephone calls, transfer calls, take accurate messages, and respond to enquiries efficiently.
Manage the reception inbox and assist with general administrative tasks.
Book new and follow-up appointments using our in-house booking system (full training provided).
Explain appointment procedures and advise patients on fees for private services.
Register new patients and accurately maintain patient records while maintaining strict confidentiality.
Retrieve, update, and re-file patient records as required.
Process payments, issue invoices and receipts, and assist with the daily reconciliation of income.
Maintain a clean, organised, and welcoming reception area.
Support colleagues with general administrative duties, including filing, scanning, photocopying, and document management.
Ensure effective communication and handovers between reception team members.
Participate in ongoing training to maintain the highest standards of customer service.
Carry out any other reasonable duties required to support the smooth running of the clinic.

About You

We're looking for someone who is:

Friendly, approachable, and professional.
Highly organised with excellent attention to detail.
Comfortable working in a fast-paced, busy reception environment.
Able to multitask, prioritise effectively, and remain calm under pressure.
An excellent communicator with outstanding customer service skills.
Confident using Microsoft Office applications.
Committed to maintaining patient confidentiality and delivering exceptional patient care.

Essential Criteria

Minimum of 4 GCSEs (or equivalent), including English and Maths.
Previous experience (within the last two years) in a customer-facing or reception role.
Excellent telephone manner and interpersonal skills.
Strong organisational and administrative skills.
Flexibility to provide additional reception cover during periods of annual leave and staff sickness.
