Full job description

HR Coordinator (Part-time)

Hours: 24 hours per week, on-site

Salary: £18,600 per annum (£31,000 FTE, pro rata)

Overview

We are looking for an organised and proactive HR Coordinator to support the day-to-day delivery of the HR function. This is a varied role covering the full employee lifecycle, including recruitment, onboarding, payroll, absence management, HR administration and employee support.

The successful candidate will be confident managing competing priorities, handling confidential information and providing a professional and responsive HR service to employees and managers across the business.

Duties

Manage and maintain HR systems, including BrightHR and Blip, ensuring employee information, attendance records and documentation remain accurate and up to date.
Act as a first point of contact for general HR queries, providing employees and managers with clear and timely guidance and escalating more complex matters where appropriate.
Support the end-to-end recruitment process, including advertising vacancies, managing applications, arranging interviews, communicating with candidates and preparing offer documentation.
Coordinate the onboarding process for new starters, including contracts, right-to-work checks, references, induction documentation and ensuring employees are correctly set up on relevant systems.
Process employee changes throughout the employee lifecycle, including promotions, salary changes, contractual amendments, transfers and leavers.
Support the monthly payroll process, ensuring starters, leavers, salary changes, overtime, bonuses, deductions, sickness and other payroll information is accurately recorded and submitted within payroll deadlines.
Liaise with payroll providers and employees to help resolve payroll queries and ensure accurate employee records.
Manage employee absence and sickness records, ensuring absences are recorded correctly and supporting managers with return-to-work processes and absence monitoring.
Monitor holiday requests and employee entitlements, ensuring records remain accurate and queries are dealt with promptly.
Prepare HR correspondence including contracts, variation letters, probation documentation, absence correspondence and other employee documentation.
Support HR meetings where required, including arranging meetings, preparing documentation and taking accurate notes.
Maintain accurate and confidential employee personnel files in accordance with UK GDPR and data protection requirements.
Assist with probation reviews and ensure managers are reminded of key employee lifecycle dates and actions.
Support the HR team with employee relations administration, including disciplinary, grievance, capability and attendance processes.
Produce regular HR reports and provide accurate data relating to areas such as headcount, absence, turnover and recruitment.
Support employee engagement initiatives, internal communications and wider people projects.
Assist with the development and maintenance of HR policies, procedures and compliance documentation.
Ensure all HR processes and employee records are completed accurately, confidentially and in accordance with company policies and employment legislation.
Undertake general HR administration and provide additional support to the HR team as required.

Qualifications & Experience

Previous experience working within an HR administration, HR assistant or HR Coordinator role.
CIPD Level 3 qualification as a minimum, or equivalent relevant HR experience.
Good working knowledge of the employee lifecycle and core HR processes.
Previous experience supporting payroll administration would be highly advantageous.
Experience using HR information systems; knowledge of BrightHR and/or Blip would be beneficial.
Strong administrative and organisational skills with excellent attention to detail.
Experience maintaining accurate employee records and handling confidential information.
Strong written and verbal communication skills, with the ability to communicate professionally with employees and managers at all levels.
Confident using Microsoft Office, particularly Excel, Word and Outlook.
Ability to prioritise a varied workload and work accurately to deadlines.
A professional, approachable and discreet manner with a strong understanding of confidentiality.
An understanding of UK employment legislation and HR best practice would be advantageous.
Ability to work independently while also being an effective member of a busy HR team.

The role would suit someone who has developed a strong foundation in HR administration and is looking for an opportunity to gain broader exposure across recruitment, payroll, employee relations, absence management and general HR operations.

Pay: £31,000.00 per year
