Job Advert: Showroom Administrative Assistant (Sales & Consignment)

Company: Brooklands Motor Centre – Leeds

Location: Leeds Showroom (On-site)

Job Type: Full-time

Salary: £27,000 – £30,000 per year (Dependent on experience)

Schedule: Monday to Saturday (with day off in the week)

About Us

At Brooklands Motor Centre, we pride ourselves on offering an exceptional, hassle-free experience for buying, selling, and consigning high-quality vehicles. Due to the continued growth of our vehicle sales and Sale or Return (SOR) consignment department, we are looking for a sharp, organized, and welcoming Administrative Assistant to support our Sales Management team (reporting directly to our Sales Manager, Salim) and manage our front-of-house customer operations.

The Role

This is a dual-focused, highly varied role combining executive administrative support with customer reception. You will be the organizational backbone of the office—handling paperwork, managing vehicle consignment administration, and serving as the warm, professional face of Brooklands when clients arrive on-site.

Key Responsibilities

Executive Support: Provide direct day-to-day administrative assistance to Salim and the sales team, handling message logs, diary coordination, and customer communications.
Front-of-House Customer Reception: Welcome on-site visitors and customers to the showroom with a friendly, professional approach, managing appointments and offer refreshments.
Consignment (SOR) Administration:
Prepare and process official Sale or Return (SOR) agreements for clients booking their vehicles with us.
Check and file vital vehicle documentation (V5C logbooks, MOT history, service records, spare keys, and HPI checks).
Walk consignment clients through the intake paperwork during on-site vehicle drop-offs.
Maintain up-to-date tracking logs for vehicle prep, valeting, listing status, and seller communications.
Office & Dealership Admin: Maintain neat, accurate physical and digital deal files, handle incoming calls/emails, and coordinate handover paperwork for completed sales.

Who We Are Looking For

Organized & Detail-Oriented: Meticulous with vehicle paperwork, contracts, and file management.
Strong Customer Skills: Comfortable, articulate, and welcoming when dealing with clients face-to-face or over the phone.
Proactive Multitasker: Ability to balance office administration alongside greeting customers entering the showroom.
Tech-Savvy: Proficient in Microsoft Office (Excel, Word, Outlook) with the ability to quickly pick up dealership software/DMS tools.
Experience: Prior experience in office administration, automotive reception, customer service, or estate agency admin is highly desirable.
