Full job description

Assenta Rail Ltd specialises in rail engineering focused on luxury, niche operations in the UK and Europe. The company has grown within the engineering sector in recent years and this growth trend is expected to continue.

To support the engineering team in Hamilton, a part -time Office Administrator Assistant is required.

Employment type: Part-time, Permanent

Part-time – 20/21 hours (working pattern to be agreed)

Key responsibilities will include:

· Collecting, checking and processing employee timesheets.

· Recording working hours, overtime and absences accurately.

· Following up on missing or incomplete timesheet information.

· Preparing payroll information and submitting it to the finance team within agreed deadlines.

· Maintaining accurate employee, training and depot records.

· Assisting with purchase orders, delivery notes and supplier documentation.

· Filing, scanning and organising electronic and paper records.

· Supporting depot managers with general administration.

· Responding to telephone and email enquiries.

· Helping ensure depot documentation is completed accurately and on time.

· Undertaking other reasonable administrative duties as required.

The successful candidate will:

· Have previous experience in an administrative role.

· Be organised, dependable and able to meet deadlines.

· Have excellent attention to detail and a high level of accuracy.

· Be confident using Microsoft Office, particularly Outlook, Word and Excel.

· Be comfortable working with timesheets and numerical information.

· Communicate professionally with employees and managers.

· Handle confidential employee and business information appropriately.

· Be able to work independently and use their initiative.

· Experience in payroll administration, Xero or a depot, engineering or rail environment would be advantageous but is not essential.

Only applicants with previous office experience will be considered for this position.

The successful candidate will be an important part of our small, dedicated team. You will be at times the front line of communication with clients and suppliers. There is an opportunity to grow within the business and scope to develop the role further.

An immediate start for this position is available.

Working Hours: working pattern to be agreed

Location: Edinburgh

Salary: £12.78 per hour, dependent upon experience
