About Metropolis London Cafe

Metropolis London Cafe is a busy and welcoming café located in London, offering high-quality food and beverages in a professional and friendly environment. We are committed to delivering excellent customer service while maintaining efficient operational processes. To support our daily operations, we are seeking a reliable and organised Administrator to join our team.

Job Summary

The Administrator will provide day-to-day administrative support to the management and operational teams. This role involves maintaining records, supporting financial documentation processes, coordinating schedules, and ensuring smooth internal communication. The ideal candidate will be detail-oriented, proactive, and comfortable working in a fast-paced hospitality environment.

Key Responsibilities

Administrative Support

Provide general administrative support to management and staff.
Maintain organised digital and paper filing systems.
Prepare and manage correspondence, reports, and internal documentation.
Coordinate meetings and manage calendars as required.

Financial & Documentation Support

Assist with invoice processing and expense tracking.
Support basic bookkeeping tasks and liaise with external accountants when required.
Maintain accurate records of supplier contracts and payments.

Operational Coordination

Support staff scheduling and maintain attendance records.
Assist with onboarding documentation for new employees.
Communicate with suppliers and service providers regarding deliveries and services.
Ensure compliance documents and licences are up to date.

Front Office Support

Respond to phone and email enquiries professionally.
Handle incoming and outgoing post and deliveries.
Provide administrative support during events or special promotions when required.

Requirements

Previous experience in an administrative or office support role.
Experience in hospitality, retail, or a service-based environment is preferred.
Strong organisational and time-management skills.
Good written and verbal communication skills in English.
Proficiency in Microsoft Office (Word, Excel, Outlook).
Ability to handle confidential information with discretion.
Ability to work independently and as part of a team.
Legal right to work in the United Kingdom.

Preferred Qualifications

Basic knowledge of bookkeeping or accounting processes.
Experience with scheduling or payroll systems.
Familiarity with hospitality point-of-sale systems.
