Full job description

We are looking for an organised, proactive and highly dependable Youth Justice Support Officer to provide high-quality administrative and operational support across a busy Youth Justice Service. This is an important role at the heart of the service, helping professionals access accurate information, maintain effective systems and deliver coordinated support to young people and families.

As a Youth Justice Support Officer, you will manage confidential information, coordinate meetings and appointments, maintain financial and management systems, produce reports and statistics, and work closely with colleagues and partner agencies. If you have excellent attention to detail, strong IT and administration skills, and can remain calm and effective while managing competing priorities, this role offers an opportunity to make a valuable contribution to a specialist public service.

Responsibilities for Youth Justice Support Officer

Provide comprehensive administrative support across all areas of the Youth Justice Service.
Maintain accurate personnel, financial, management information and administrative systems.
Process authorised orders for goods, equipment and services and support budget monitoring activities.
Maintain accurate inventories of equipment and resources held by the service.
Establish and maintain effective electronic and paper-based filing and record management systems.
Organise, attend and accurately minute professional meetings, ensuring actions and information are recorded appropriately.
Manage diaries, appointments, staff movement records and duty rotas.
Provide reception and front-of-house support, including answering telephone enquiries and welcoming visitors.
Produce correspondence, reports, agendas, minutes, statistics and other documentation from written or audio instructions.
Manage incoming and outgoing post and distribute documentation to relevant staff and agencies.
Enter, retrieve and process information using relevant electronic information systems and databases.
Collect, collate and analyse statistical information to support service monitoring and reporting.
Maintain accurate, up-to-date and secure records in accordance with information governance and confidentiality requirements.
Support the archiving of Youth Justice Service documentation, including preparation for relocation and ongoing records management.
Liaise effectively with Council colleagues, professionals, partner agencies and external organisations.
Prepare correspondence and provide accurate information in response to enquiries from a range of stakeholders.
Attend court approximately once every fortnight and provide accurate administrative support as required.
Follow Youth Justice Service policies, procedures, statutory requirements, health and safety requirements and data protection standards.
Promote equality, diversity and inclusion in all aspects of service delivery and professional practice.
Respond flexibly to changing priorities and undertake other duties appropriate to the level and nature of the post.

Skills and Background for Youth Justice Support Officer

We are seeking a capable Youth Justice Support Officer who can combine excellent administration with strong information management, communication and organisational skills.

The successful Youth Justice Support Officer will demonstrate:

GCSEs or equivalent in English and Maths, or demonstrable experience of working at an equivalent level.
Previous experience of working in an administrative or business support role.
Good knowledge of computerised information systems and Microsoft Office applications, particularly Word and Excel.
Experience maintaining complex and confidential information accurately and systematically.
Strong attention to detail and the ability to maintain reliable records and administrative processes.
Experience preparing correspondence, reports, statistics and other documents for internal and external audiences.
Ability to take concise and accurate notes during professional meetings and court-related activities.
Good understanding of budget monitoring and financial administration.
Ability to use new technology effectively for data input, information retrieval and reporting.
Strong written and verbal communication skills, with confidence handling telephone enquiries and visitors professionally.
Ability to manage competing priorities, work flexibly and respond positively to changing service requirements.
Ability to build effective working relationships with colleagues across different professional disciplines and partner agencies.
Knowledge or understanding of the criminal justice system and the administrative requirements associated with services supporting offenders or young people involved with the justice system.
Commitment to confidentiality, information governance, equality of opportunity and the Council's policies and values.
Willingness and ability to attend court approximately once every fortnight.
