Full job description

We are looking for an organised, approachable and supportive administrator to join our Employee Health Service team. This is an important role providing day-to-day administrative support and helping to ensure staff receive a responsive and efficient service.

You will be a key point of contact for employees, managers, healthcare professionals and colleagues, providing clear and helpful communication with professionalism and sensitivity.

The role includes:
Supporting the day-to-day administration of the Employee Health Service.
Processing pre-placement health applications using TRAC/OPAS G2, or any systems that replace these.
Providing reception and telephone support for the service’s single point of access.
Registering referrals, arranging appointments and maintaining accurate records.
Sharing information accurately and securely with relevant colleagues.
Supporting employees, managers and healthcare professionals as part of a collaborative team.

Working as part of the Employee Health administration team, you will:

Process pre-placement applications and forward health clearances to Recruitment and where appropriate, recruiting managers each day.
Accurately record information on Employee Health clinical systems and update OPAS G2 with monthly starter and leaver information.
Register referrals and arrange appointments in line with service requirements.
Manage appointment bookings, cancellations and amendments promptly and accurately.
Provide clear confirmation of appointments to employees.
Answer incoming calls and respond to enquiries in a helpful, professional and sensitive manner, taking appropriate action where needed.
Monitor and respond to the single point of access email inbox.
Process correspondence and information received by the service, working collaboratively with colleagues.
Scan and photocopy confidential and non-confidential documents, maintaining confidentiality at all times.
Provide reception support at the Employee Health headquarters when required.

You will contribute to a welcoming, responsive service and work collaboratively with colleagues to maintain high standards of accuracy, confidentiality and customer service.
