About Us:

We are a busy, dynamic immigration law firm committed to providing exceptional legal services to clients navigating the complexities of immigration law. We are seeking an organised, detail-oriented, and proactive Administrative Assistant to support our team with a variety of tasks.

Position Overview:

As an Administrative Assistant, you will play a key role in ensuring the smooth and efficient operation of the firm. Your responsibilities will range from assisting with client enquiries and document management to supporting our solicitors and office administration.

Key Responsibilities:

Client Communication: Answering phone calls, emails, and scheduling appointments with clients.
Document Management: Maintaining client files and ensuring that all documents are up to date.
Data Entry: Entering case information and tracking deadlines and appointments in the firm’s management system.
Filing and Record Keeping: Ensuring proper filing of sensitive client documents in accordance with firm policies and privacy laws.
General Administrative Tasks: Organising and maintaining office calendars, managing billing and invoicing, and assisting with various office duties as needed.

Qualifications:

Experience: Prior experience in an administrative role, preferably within a law firm or legal setting. Immigration law experience is a plus.
Strong organisational and multitasking skills.
Excellent communication skills, both written and verbal.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Familiarity with immigration law processes is a plus.
Attention to detail and ability to handle confidential information.
Ability to work independently and as part of a team.
