Assignment Support Coordinator in our Calgary office and play a vital role in supporting contractor onboarding, compliance, and assignment management across major energy and engineering projects throughout North America.
This role is ideal for someone who enjoys working in a fast-paced environment, thrives on detail, and takes pride in ensuring every contractor journey is smooth, compliant, and professional from onboarding through to offboarding.
- Contractor Onboarding: Coordinate pre-employment and onboarding activities, ensuring all documentation, compliance checks, and mobilisation requirements are completed accurately and on time.
- Placement Lifecycle Management: Monitor contractor assignments through Bullhorn and internal systems, maintaining accurate records and ensuring key milestones are achieved.
- Vendor Coordination: Liaise with third-party providers to arrange medical assessments, background checks, safety training, and other onboarding requirements.
- Contractor Support: Build strong relationships with contractors, providing guidance and support throughout the onboarding and assignment lifecycle.
- Compliance Management: Ensure adherence to client requirements, company policies, and applicable Canadian employment and compliance regulations.
- Inbox & Query Management: Manage shared mailboxes efficiently, responding to contractor and stakeholder queries in a timely and professional manner.
- Cross-Functional Collaboration: Partner with recruitment, payroll, operations, and compliance teams to deliver a seamless contractor experience.
- Offboarding Administration: Coordinate contractor offboarding activities, ensuring accounts are deactivated and compliance processes are completed.
- Reporting & Tracking: Produce regular status reports, monitor onboarding progress, and escalate potential compliance risks where required.
- Drug & Screening Compliance: Support random drug screening programmes and maintain accurate compliance records in line with client requirements.
- Audit Support: Assist with internal and external audits by gathering, reviewing, and distributing documentation promptly.
- Contractor Record Maintenance: Update contractor information, resolve portal issues, and ensure all personnel records remain accurate and compliant.
- Industry Experience: Previous experience in contractor onboarding, compliance, workforce administration, HR support, recruitment operations, or a similar coordination role.
- Compliance Knowledge: Familiarity with background screening, drug testing processes, employment documentation, and onboarding best practices.
- Exceptional Communication Skills: Confident verbal and written communicator with the ability to build rapport with contractors and internal stakeholders.
- Highly Organised: Strong attention to detail with the ability to manage multiple priorities and meet deadlines in a busy environment.
- Customer-Focused Mindset: Passionate about delivering a positive experience and providing excellent support to contractors and colleagues.
